Job summary

We are seeking an experienced and professional Executive Assistant to support the Senior Management Team at Manston STHF.

The Executive Assistant will provide executive and administrative support, manage sensitive and confidential information, and ensure the efficient coordination of operational, governance, and communication activities across the facility.

Main duties of the job

Administrative and Executive Support

  • Provide comprehensive administrative and executive assistance to the Senior Management Team, including diary management, meeting coordination, and minute-taking.

  • Prepare and format correspondence, reports, presentations, and policy documents to a high professional standard.

  • Manage communications, prioritising tasks and maintaining confidentiality at all times.

  • Coordinate travel arrangements, events, and logistics for internal and external meetings.

  • Supports achievement of site KPIs by ensuring timely coordination of governance meetings, accurate documentation of operational decisions, and effective communication that enables Senior Management to meet compliance, performance, and reporting deadlines in line with Home Office and NHS standards.

Communication and Stakeholder Liaison

  • Act as the first point of contact for the Senior Management Team, handling internal and external enquiries professionally.
  • Liaise effectively with colleagues, partners, and external stakeholders to support smooth operational delivery.
  • Contribute to internal communications, newsletters, and engagement initiatives as required.

  • High level of discretion and professionalism when handling sensitive or confidential information.
  • Competent in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively in a fast-paced operational environment.

Desirable Criteria

  • Experience working in a secure environment, operational facility, or public sector setting.
