Job summary

Mental Health and Wellbeing Services (MHWS) is an NHS commissioned adult ADHD service that provides specialist assessment and intervention to adults with ADHD. Based in Shrewsbury, our service is rapidly growing and we are seeking experienced administration staff to join us. We are a busy and collaborative admin team, and the right candidate will be comfortable being proactive and ready to apply their highly developed skills to a range of tasks, always to a high standard. While the role is varied, it will primarily suit those with significant call handling and customer care expertise, who would be comfortable with a great deal of interaction with our patients. Experience in a health care setting and EMIS is advantageous.

Main duties of the job

The purpose of this role is to provide efficient, timely and comprehensive support to the Patient Services and Referrals and Scheduling team. Main duties include call handing to manage and resolve patient queries, processing of referrals and related documentation, data entry and scheduling various appointments as required.

Job responsibilities

Patient Services Team:

Answer phones and monitor communications dashboard - manage and resolve patient queries

Reception desk greet patients on arrival for appointments, distribute prescriptions ready for collection

Clear post box and process mail as required scan and upload documents

Communicate effectively with GP surgeries, other healthcare professionals

Liaise with MHWS wider team of mental health clinicians, managers and administration team

Pre-Service Engagement / Referrals & Scheduling Team:

Engage with patients to validate referral to our service and ensure referral criteria are met

Monitor and process returned patient forms

Schedule patients to receive pre-service engagement call with clinic team

Process referrals register new patients, upload documents

Support migration of data from Cliniko to EMIS data entry, run reports

Contribute to the implementation of new systems (EMIS, EPS) and processes as required

Liaise with GPs to obtain requisite patient health records as required

Support scheduling team with discharge correspondence as required
