Job summary

The role involves overseeing contract management to ensure alignment with funding requirements, NHS Commissioning Intentions, CCGs, and Local Authorities. This includes supporting third-party contracts to ensure performance and procurement goals are met, such as achieving savings. The management of contracts involves meeting agreed output levels, volumes, and quality standards, including compliance with external inspection frameworks like CQC and Ofsted. Identifying, monitoring, and managing risks associated with contracts, while implementing appropriate business controls and contingency plans, is essential. Clear communication of roles and responsibilities within internal delivery teams, along with briefing operational teams on contractual requirements and quality reviews, is part of the role. Additionally, supporting third-party IT operations and ensuring compliance with contractual requirements, including data security, is necessary. Reporting submissions for Kinver Care, quality reviews, monitoring referrals, and updating contracting portals are also key responsibilities.

Main duties of the job

  • Ensure contract delivery aligns with funding requirements ,NHS directives, and local authorities.
  • Monitoring third-party contracts for performance and procurement, including cost-saving initiatives.
  • Managing contracts to meet output, volume, and quality standards, while addressing risks and implementing contingency plans.
  • Clarifying roles and responsibilities within delivery teams and ensuring adherence to contractual requirements.
  • Providing support for third-party IT and maintaining compliance with data security regulations.
  • Handling reporting submissions, monitoring referrals, and updating contracting portals.
  • Establishing escalation procedures for addressing issues with commissioners and internal teams.
  • Proactively improving relationships with stakeholders and updating communication strategies.
  • Collaborating with internal stakeholders to ensure successful contract delivery.
  • Managing contract documentation and change control processes.
  • Delivering management reporting on performance, quality, and financial matters.
  • Supporting compliance with CQC and Ofsted regulations, including mock inspections and audits.

Contract Management

Support with third party IT, net accounts are maintained and provided in line with Contractual requirements including DSPT (annual Data Security Protection Toolkit submission), localised system ClearCare, Birdie or other systems in place

All reporting Submissions for Kinver Care including quality reviews

Monitoring of referrals via portals, email and directly to Kinver Care

Update annually contracting portals

Relationship Management

Deliver an agreed escalation procedures in place for identifying and handling issues with commissioners and internal operational teams and other stakeholders

Pro-actively look for ways to improve relationships with internal and external stakeholders update Communication and engagement Strategy key contacts

Work closely with internal stakeholders to achieve successful contract delivery

Ensure all contractual documentation meets the standards required by internal and external inspection bodies and delivered in line with contractual requirements.

Manage a contract change control process ensuring any changes to any agreements are in writing and endorsed by all relevant parties.

Deliver agreed Management reporting (to include performance, quality and financial matters)

Ensure the Contracts are managed within organisational governance structure and obligations (including procurement obligations)

Develop staff on Governance processes

Ensure that staff have clear objectives and performance measures and monitor and manage performance of individuals and operations compliance and engagement across the group

Comply with all Skills policies and Employment law obligations either via QCS or other apps and any new policies for Ofsted registration

Undertake a personal development programmes such as further knowledge of Ofsted and CQC regulations

Remain aware of local and national initiatives which affect the job role changes to legislation, local initiatives

Continually strive to improve staff knowledge and capability of contract management, adopting disciplines and controls to ensure successful delivery of funded contracts

Information Governance

Implementation of DSPT training and submissions

Investigations for Safeguarding, lead for all LADO or RCA investigations

Network with fellow Safeguarding Leads, Caldicott Guardians and IG Leads working to ensure adherence to Caldicott principles Lead SIRO, DPO and Governance Lead

  • Previous experience in an office-based administrative or similar role is essential.
  • Experience of handling large volumes of complex diverse healthcare data, adding analysis and value to assist service users, carers and staff
  • Experience of working with a range of stakeholders in healthcare
  • Educated to at least GCSE Level or Equivalent Knowledge and
  • Experience in a client facing/customer service position.
  • Other Flexible working attitude Skills and abilities in Contract, Performance or Compliance roles or similar skillset
  • Excellent written and verbal communication skills
