Job summary

We are looking for an organised and detail-oriented Administrator to join the Your Health Notts Nottinghamshire Integrated Wellbeing Service (IWS). This role is dedicated solely to managing and distributing Nicotine Replacement Therapy (NRT) products to service users, supporting the Smoking Cessation team to ensure safe, timely, and effective delivery of these interventions.

Main duties of the job

Key responsibilities include organising and distributing Nicotine Replacement Therapy (NRT) products to service users safely and efficiently, maintaining accurate records of all orders and stock movements, and ensuring appropriate stock levels through regular audits and reordering. The role involves daily temperature checks for safe storage, liaising with the Smoking Cessation team to coordinate client needs, and responding to queries about NRT provision. You will support accurate reporting, ensure compliance with data protection and safety regulations, and act as the main administrative contact for all NRT-related tasks within the team.

Job responsibilities

As the Administrator for Nicotine Replacement Therapy (NRT), you will provide dedicated administrative support to the Smoking Cessation team within the Nottinghamshire Integrated Wellbeing Service (IWS). Your role is essential to the smooth coordination and distribution of NRT products to service users across Nottinghamshire.

You will be responsible for a variety of administrative tasks that support the effective delivery of the NRT programme, ensuring compliance with service protocols and meeting key targets set by the Smoking Cessation and SPOA leads.

Key responsibilities include maintaining accurate client records, managing stock levels, processing referrals, booking appointments, and handling queries from both clients and health professionals. You will be part of a supportive, multidisciplinary team, working within the Single Point of Access (SPOA) team to ensure timely and professional administrative support across all referral and distribution channels, including electronic systems, telephone, email, and web-based platforms.

Duties and Responsibilities

This post will work under the line management of the Single Point of Access Administration Lead. The role will be varied, challenging, and rewarding as you support and develop the service through implementation, delivery and ongoing innovation and service development.

Key responsibilities will be:

Organise and distribute Nicotine Replacement Therapy (NRT) products promptly and safely to service users, as prescribed by smoking cessation practitioners.

Maintain accurate and up-to-date records of all NRT orders, distributions, and client information using appropriate service databases.

Monitor NRT stock levels, ensuring adequate supply is maintained and reordering when necessary in line with service protocols.

Conduct monthly audits and stock checks of all NRT products, ensuring accuracy, compliance, and accountability.

Perform daily temperature checks of NRT storage areas to ensure products are stored in line with safety and quality guidelines.

Liaise with the Smoking Cessation team to coordinate client NRT needs and support timely access to products.

Respond to queries from clients and staff regarding NRT provision, product types, availability, and collection or delivery processes.

Support accurate reporting on NRT usage, stock movement, and wastage, contributing to internal audits and service reviews.

Ensure that all NRT handling and administrative processes comply with information governance, data protection, and health and safety regulations.

Act as the key administrative contact for all NRT-related tasks within the Smoking Cessation team, working closely with team members to deliver a smooth and effective service.

Experienced working with Microsoft Office and database systems
