Job summary

St Joseph’s Hospice in East London is one of the largest hospices in the UK. We provide compassionate, specialist palliative care to people in the diverse community of East London who are living with a life-limiting illness. We treat each person as unique, encouraging and enabling them to reach their full potential until the end of life.

Main duties of the job

We are seeking an experienced administrator with strong research, IT and communication skills to support our Trusts and Philanthropy fundraising teams. This is a great opportunity for someone who is passionate about the work of hospices to develop a fundraising career. This role will focus primarily on supporting the Trusts and Philanthropy Fundraising teams through researching and identifying suitable high value funders and supporters, submitting propositions and applications, and providing support with administration, meeting and events, as well as supporting the wider fundraising team as needed.

St Joseph’s is a large 28-bedded hospice in Hackney, East London, with an inner-city, ethnically diverse population. There are excellent modern facilities including a busy community team, day hospice, complementary therapies centre, bereavement service, access to a multi-lingual advocacy team and a purpose-built education centre and library.

Job responsibilities

Basic Function

This role will focus primarily on supporting the Trusts and Philanthropy Fundraising teams through researching and identifying suitable high value funders and supporters, submitting propositions and applications, and providing support with administration, meeting and events, as well as supporting the wider fundraising team as needed.

Organisational context

St Joseph’s Hospice was founded in 1905 by the Religious Sisters of Charity who retain an interest in the oversight of the Hospice through their representation on the Board of Trustees. The Hospice is working to achieve Vision 2024, which has five key strands: patients, enterprise, estates, funding and fundraising, and human resources. The Hospice seeks to be an outstanding provider of palliative and end of life care. Each employee is critical to delivering and maintain those standards in accordance with the Hospice’s core values.

Discretion to act

The post holder has day-to-day responsibility for delivering all tasks detailed in the job description with minimal supervision and as directed by the Trusts & Grants Manager. The post holder will also work co-operatively with the wider fundraising team to ensure joined up working.

Scale and impact

Management Responsibility: The post holder does not have line management responsibility, but will be expected to manage hospice volunteers. They will also be expected to use high levels of initiative in researching and finding information on individuals where such information is not always readily and routinely available.

Budget: The post holder does not have budget responsibility, but will be expected to play a part in the achievement of Trusts and Philanthropy teams’ annual targets by for example submitting some applications for funding to charitable trusts.

Key accountabilities:

1. Prospect research

1.1 Researching and identifying prospective individuals and charitable trusts whose philanthropic goals align with the work of the Hospice, using initiative and problem solving skills to explore different avenues for research if usual routes and sources are not productive.

1.2 Creating or updating information resources on each funder and developing profiles of high net worth prospects.

1.3 Adding recommended actions to existing Trusts, Philanthropy and Corporate fundraising pipelines and work plans.

2. Preparation of funding applications, proposals and reports

2.1 Referring to information gathered on each funder, preparing funding applications for trusts and proposals to potential major donors that are in line with their interests and preferences/guidelines.

2.2 Using initiative to match Hospice projects that need funding with donors and funders’ interests and funding criteria.

2.3 Preparing reports for existing donors and funders on what their donations have achieved.

3. Development and maintenance of funding information resources

Assisting with the collation of relevant information from internal stakeholders to enable the writing of compelling and engaging requests for funding, relevant to funders’ interests.

This will include:

3.1 Liaising with colleagues within the Hospice to enable the writing and updating of project briefs for services and funding requests, including gathering of key facts & figures, case studies, quotes, photographs and information on the impact of services, to be used as basis for funding requests and applications.

3.2 In consultation with Service Managers, reviewing and revising project briefs regularly to ensure information is up to date.

3.3 Assisting with the development and updating of the Fundraising Toolkit, a bank of information and documentation required for applications, such as signed accounts, copies of bank statements and Hospice policies.

4. Cultivation and stewardship of relationships with funders

4.1 Developing and maintaining relationships with funders through excellent customer service and stewardship to ensure repeat funding.

4.2 Keeping records of all contacts, pledged and received income, enquiries and applications on the ThankQ Customer Relationship Management database.

4.3 Building strong relationships with funders through excellent customer service and assistance with the preparation of updates and impact reports.

4.4 Stewarding major donors and prospects as well as senior charitable trusts staff at events in conjunction with other Trust and Philanthropy fundraising staff.

4.5 Managing, preparing and submitting mailings to small trusts that do not have formal application processes.

4.6 Making out-going and receiving incoming calls with prospects and donors, using tact and discretion to help develop these relationships.

4.7 Assisting with preparing and hosting Hospice visits, tours and meetings for donors and prospects.

5. Other

5.1 Keeping up to date with the latest in philanthropic giving trends, news and legislation.

5.2 Ensuring that all work in relation to Trusts and Philanthropy fundraising complies with fundraising policy, GDPR and industry best standards.

5.3 Keeping online content relating to the Trusts and Philanthropy teams up to date on the St Joseph’s Hospice website.

5.4 Supervising volunteers as and when necessary.

5.5 Supporting the work of the wider fundraising team as needed - for example, by helping with the delivery of jumble sales and sponsored events such as the Hackney Half and the Great East End Walk.
