Job summary

We are looking for an enthusiastic and responsible Supervisor to oversee and work alongside our busy and fast paced Specimen Reception teams. The teams are responsible for the acceptance and preparation process of patients samples. The Supervisor will provide cover at The Hub, Bentalls, Basildon as well as our teams at Southend Hospital and Basildon Hospital on a roster system.

The ideal candidate will be a competent individual with the ability to guide and motivate teams, ensuring that the departments are productive and well managed.

Attention to detail, excellent communication and interpersonal skills are essential alongside the ability to demonstrate excellent organisational and leadership skills.

Pathology First delivers a seven day week service. This role will be 37.5 hours Monday to Friday. The departments work from 0800 to 2000 and shifts are allocated between these hours. Further breakdown of this can be provided on request.

Main duties of the job

  • Responsibility for the day to day operations of the Specimen Reception.
  • The planning and prioritising of work allocations for staff responding appropriately to the needs of routine and urgent activities in a demanding and busy environment.
  • People management duties such as performing and completing Appraisals and Probations.

Job responsibilities

To be responsible for the day-to-day operations of the Specimen reception.

To plan and prioritise work allocations for staff, responding appropriately to the needs of routine and urgent activities.

To perform e-rostering attendance management on a daily basis

To be responsible for liaising and communicating in a timely & effectively manner with all laboratory staff as well as other internal & external users including escorting & informing visitors of department processes.

To be responsible for identifying and resolving issues and errors within own area.

To maintain the following staffing areas in accordance with iPP policies and procedures to ensure quality standards are adhered to including documentation 1.Complete and monitor sickness absence, conduct and return to work interviews 2.Appraisal, performance, personal objectives and development reviews 3.To provide comprehensive training and competency assessments 4.Monitor mandatory training and other courses 5.Provide constructive feedback regarding individual staff performance.

To be responsible for ensuring all staff including casual staff, work experience & trainees are trained appropriately & training records are maintained, ensuring the correct PPE is worn at all times. To update, identify & implement any development needs, organising team resources to successfully achieve goals & objectives.

To ensure effective and timely communication to all staff on all aspects of the department, including newsletters, notice boards and team briefs, and to ensure any such communication is relevant and current & documented. All notices & documents must be produced within document control guidelines.

To be responsible for authorising annual leave for staff ensuring the area is adequately staffed at all times. Ensuring all staff annual leave is current taking into account length of service & contract changes.

To be responsible for compiling the weekly, evening, weekend & Bank Holiday duty rotas and to ensure service needs are met and to inform laboratory staff as appropriate.

To ensure the efficient receipt & appropriate processing of all incoming samples, prioritising and immediately dispatch of urgent & other time critical test requests.

To actively participate in Internal audits along with a lead auditor and to assist in recording the audit information.

To be responsible for compiling and maintaining the emergency contact numbers, addresses & next of kin details for Reception staff.

To be responsible for monitoring equipment & working area of the section and taking any appropriate actions such as reporting any faults to the appropriate person.

To participate fully in the routine work of the department.

To ensure patient confidentiality is adhered to at all times.

Ensure standards of cleanliness & waste disposal & maintain up to date records of housekeeping. To supervise the cleaning & disinfecting of transport bags & vacuum pods & to keep accurate records.

To perform any additional duties consistent with the grade and description of the post as may be required.

To undertake any training, courses etc. as deemed appropriate.

Prepare samples for routine and specialist biomedical investigations, working on own initiative to agreed protocols.

Be able to rotate through all designated areas of Pathology, as required (dependent on experience and training), performing all designated duties in accordance with local working practices whilst maintaining high personal standards and conforming to Health and Safety regulations.

Provide general advice to users of the pathology service, for example, sample type, test availability.

Participate in and assist with clinical trials, particularly in sample receipt and preparation.

Propose changes to standard operating procedures as required in order to develop and streamline the service or to reflect other changes.

Utilise the laboratory LIMS, Q-Pulse quality monitoring system and other application software according to authorised protocols including computer data entry in all areas of the laboratory.

Communicate efficiently, courteously and with clarity at all times, whether face to face, telephone or electronic methods referring enquiries to senior staff where appropriate.

Attend and participate positively in laboratory and other meetings as directed by Laboratory managers

Encourage active participation in personal development and support the introduction of new technologies and / or systems by being a change advocate.

Use consumables and equipment within your allocated section responsibly and be responsible for stock control audits and recording through approved channels as required.
