Job summary

At Pathology First we have an exciting opportunity for an experienced Band 5 Phlebotomy Training & Education Lead. We are looking for an experienced Phlebotomist who is self-motivated, flexible and has a passion for delivering training that truly makes a difference to the team and the patients they look after.

You will be required to work at multiple sites (Basildon and Thurrock University Hospital, Southend University Hospital and other local community clinics throughout South Essex) at times between 7am and 7pm depending on the trainees rota.

You will be required to hold a full UK driving license and have access to your own vehicle for work, this is essential because the role involves working across multiple sites in Mid and South Essex.

Main duties of the job

The Phlebotomy Training Lead will foster a continuous education culture and will lead on training & competency assessment of all phlebotomy staff as well as development and maintenance of the training policy & governance. The Phlebotomy Training Lead will co-ordinate and develop modern methods of phlebotomy training and education that will enable achievement of regulatory and accreditation requirements and safe phlebotomy service.

The Phlebotomy Training Lead will design, co-ordinate and promote the in house Phlebotomy academy seeking opportunities to extend to other stakeholders.

The post holder requires to develop & maintain effective working relationships with the users of the service including medical teams, wards, departments, units of management and the CCG managers. The post holder requires to build a team of skilled individuals who can deliver an excellent phlebotomy service to our patients and more importantly promote the phlebotomy service and provide a positive patient experience..

The post holder is responsible to lead and take responsibility for the day-to-day management of all Phlebotomy functions. To be responsible for planning, supervising and scheduling of Phlebotomy staff as appropriate to ensure robust, reliable & efficient service to both external and internal service users.

The post holder is also responsible to act as a deputy and provide support to the Phlebotomy Manager in aspects of service provision within Phlebotomy.

Job responsibilities

General supervisory duties:

To be responsible for the day-to-day management and operation of the Phlebotomy staff.

To provide & control an efficient service, ensuring that appropriate staffing levels & professional standards are maintained at all times.

To be responsible for liaising and communicating in a timely & effective manner with all Phlebotomy staff as well as other internal & external users of department services.

To be responsible for identifying and resolving issues & errors within Phlebotomy including initially dealing with routine disciplinary matters or any issues arising with other staff members and as appropriate supporting the Phlebotomy Manager to resolve issues or errors that arise.

To participate in the monitoring of change & implement any improvement to develop service needs.

To maintain & be responsible for the following staffing areas in accordance with departmental and Pathology First policies & procedures to ensure quality standards are adhered to, including documentation:

Complete and monitor sickness absence and conduct return to work interviews, assisting Phlebotomy manager with absence management

Appraisals, performance, personal objectives and development reviews

Training & Mentoring

Mandatory training and other appropriate courses

Provide constructive feedback regarding performance

Provide support and advice for the development of individuals and teams

To ensure that correct PPE, in line with Pathology First guidelines, is worn at all times.

To update, identify & implement any development needs, organising team resources to successfully achieve goals & objectives

To ensure effective and timely communication to all staff on all aspects of the department, including team briefs, and to ensure any such communication is relevant, current & documented. All notices & documents must be produced within document control guidelines.

To be responsible for authorising annual leave for staff ensuring the area is adequately staffed at all times. Ensuring all staff annual leave is current taking into account length of service & contract changes. Authorise annual leave and overtime where applicable and record in the annual leave diary

To be responsible for the entry & retrieval of data relating to own area and providing any data requests in an appropriate format including error logging & incident reporting. Compiling workload & error log statistics in spreadsheets to highlight any quality or training issues.

To maintain & modify the following Health & Safety documentation in accordance with UKAS (ISO 15189 standards), department & Pathology First Policies & Procedures keeping up to date records on Q Pulse:

Ensure standards of cleanliness, waste disposal is compiled with in line with Pathology First policies. Maintain up to date records of housekeeping. To supervise the cleaning & disinfecting of the Phlebotomy clinics and equipment ensure records are kept updated.

To ensure the Phlebotomy Manager is kept appraised of issues and difficulties promptly so action can be agreed and acted upon.

To be responsible for effective planning and scheduling of Phlebotomy staff to ensure all aspects of phlebotomy are well staffed.

To liaise with the Phlebotomy Manager and other Pathology staff when appropriate to improve the efficiency and meet the needs of the service.

Training and Education specific duties:

To be the training lead responsible for the coordination and monitoring of training within the Phlebotomy services adapting to changing clinical protocols.

To be expert in practice and theory of phlebotomy and be competent as Advanced level phlebotomist.

To be responsible for the organisation and delivery of an In-house Phlebotomy Academy and to present in a creative way that will stimulate and motivate attendees.

To develop a paediatric training pathway to increase the number of staff trained to bleed children.

To develop and expand the Phlebotomy Academy to external parties.

To be able to act as the designated training lead for the Phlebotomy Department and attend meetings as required. To collect training related KPI data as required and report this via the Phlebotomy Dashboard.

To support the Phlebotomy Manager & Pathology Quality Manager in the investigation of any incidents, complaints etc.To investigate, root cause analyses and report on patient complaints and incidents and to use Q-pulse to review the incidents and complaints. To be able to use the Laboratory Management System when investigating incidents.

To meet the Phlebotomy Manager regularly to review & give feedback on the progress of staff training and education.

To write & revise protocols, SOPs, risk assessments, and other documentation related to training and education and to ensure staff competency is up to date.

The post holder is responsible for the development of a new documentation, training policies, manuals, posters etc. to ensure continuous improvement.

To develop, review and monitor competency assessments and training plans for all phlebotomists, receptionists, call centre and porter.

To provide information regarding the competency compliance of all staff on a monthly basis and within time frame. To work with Phlebotomy Service Manager to formulate action plan to achieve target training compliance.

To design and co-ordinate a mentoring system for new staff including identifying and developing new mentors.

To assist in staff training and development including staff developmental plans and to coordinate applications for training courses.

To be an active member of the Pathology First Training Committee representing Phlebotomy services, submitting requests for funding and review of staff applications for further education and training.

The post holder will be responsible for monitoring and reporting of appraisal compliance for the phlebotomy services reporting to the services leads.
