Job summary

A great opportunity has arisen to join us as a Neuro Developmental Service Administrator across the BSW locality.

You will provide an excellent customer experience for patients and professionals contacting the ASD and/or ADHD services by telephone, by email and by post, as the first point of contact to HCRG Care Group Neuro developmental Services across the BSW locality. The administrator will support the effective filtering and directing of telephone calls and correspondence for BSW Neuro Developmental service and where required, with partner organisations. This post will also support the wider business support function in providing administrative and organisational support across the full range of office and service activities.

This is a demanding role requiring high levels of administrative and communication skills and the ability to work proactively as part of a team.

Main duties of the job

Key Responsibilities:

  • Screen and triage referrals into Neurodevelopmental Services from various sources, ensuring they meet criteria and are directed appropriately.

  • Prioritise referrals, escalating urgent cases to relevant professionals, and follow protocols to ensure timely patient access.

  • Liaise with referrers to obtain complete and accurate information for high-quality referrals.

  • Accurately record and allocate referrals using client information systems, ensuring confidentiality and accessibility.

  • Provide signposting to HCRG Care Group and other statutory/voluntary services as needed.

  • Maintain data accuracy through regular cleansing and manage clinical appointment bookings via SystmOne, ensuring compliance with waiting time targets.

  • Coordinate appointment communications, including letters and rescheduling, and maintain up-to-date clinic systems and templates.

  • Manage local databases, produce and distribute internal communications, and order routine supplies.

  • Handle incoming/outgoing correspondence and provide administrative support, including minute-taking when required.

  • Work flexibly to cover colleagues and support service continuity, undertaking additional duties as assigned by the line manager.

  • Good general education to at least GCSE level or equivalent, including Maths and English

Work Experience

  • Excellent customer services skills
  • Accurate and efficient keyboard skills
  • High levels of computer literacy to include a good working knowledge of Microsoft Office packages incusing Outlook, Word, Excel.
  • Ability to work as part of a team
  • Effective interpersonal and communication skills, both verbal and written
  • Good telephone manner
  • Polite and helpful customer service skills
  • Ability to work with discretion, sensitivity and maintain confidentiality
  • Good planning and organisational skills and ability to meet deadlines
  • Ability to prioritise and manage workload in busy environment
