Job summary

We have the opportunity for a HR & Recruitment Assistant to join our team of welcoming and friendly HR Professionals.

You will be based at PICS Headquarters in Nottinghamshire with elements of home working. In this role you will take ownership of PICS recruitment and provide a high standard of support across the HR Team.

If you have experience working within an administrative function and are looking to get into HR and Recruitment this maybe the role for you!

Main duties of the job

KEY RESPONSIBILITIES

  • Following the full recruitment process including proof-reading adverts, JDs and person specifications, placing adverts on the relevant job boards, supporting the shortlisting process, setting up interviews & being the point of contact for recruitment managers and applicants.
  • Co-managing the HR inbox, triaging emails according to their escalation level and responding to routine enquiries from staff, applicants, and managers
  • Communicating with individuals going through the onboarding process ensuring they are aware how to move to each stage of the recruitment process and where they are in the process
KEY REQUIREMENTS
  • GCSE (Grades A-C) or equivalent in English Language and Mathematics
  • Ability to work effectively to deadlines.
  • Excellent oral communications skills with colleagues and prospective employees, agencies, training companies (face to face and via the telephone)

Job responsibilities

JOB PURPOSE

  • To provide a quality Recruitment and HR support service to support the PICS HR function.
  • To be the first point of contact for Recruitment and HR enquiries, managing communications.
  • To work in close partnership with the HR team members to ensure that the Recruitment / HR Administration processes are coordinated and delivered in a professional and timely manner.

KEY RESPONSIBILITIES

Human Resource Administration Duties

Holding induction for new starters, processing induction documents and updating systems accordingly

Updating PICS Systems (People HR, Blue Stream,etc.) with new starters

Ensuring ID cards are ready for the first day of employment

Co-managing the HR inbox, triaging emails according to their escalation level and responding to routine enquiries from staff, applicants, and managers

Managing stock levels of HR-related stationary and equipment (e.g. door fobs)

Ordering uniform for PICS Staff

Processing HR documentation and maintaining an excellent standard for staff files that is CQC compliant

Monitoring professional registration, chasing those who havent renewed and escalating to HR Advisor/HR Manager and line manager where necessary

Updating the HR System by uploading necessary documentation onto profiles, amending information as requested by line managers or senior managers and providing technical information and guidance to staff/managers on using the system.

Updating People HR with information on the new starter forms

Ensuring new starter forms are uploaded to People HR and passed onto the Payroll Assistant for processing

Recruitment Process Duties

Leading on Mid Notts, Notts West, PICS & Practices recruitment with assistance during busy periods

Following the full recruitment process including proof-reading adverts, JDs and person specifications, placing adverts on the relevant job boards, supporting the shortlisting process, setting up interviews & being the point of contact for recruitment managers and applicants.

Ensuring that the necessary vacancy approval forms are signed before proceeding with advertisement and escalating where there are issues.

Where required, assisting Recruitment Managers with creating adverts and providing best practice guidance throughout the recruitment process.

Processing recruitment documentation, chasing the relevant individuals for paperwork where necessary and maintaining an excellent standard for recruitment files

Support pre-employment screening for each applicant, in alignment with local polices and national standards i.e., offer letter production, ID Checks, right to work checks, keeping the necessary systems up-to-date, assurance letter production (where necessary) and chasing information.

Communicating with individuals going through the onboarding process ensuring they are aware how to move to each stage of the recruitment process and where they are in the process

Process Improvement

Contribute to the ongoing improvement and development of HR teams procedures and processes.
