ABOUT THE ROLE

Nottingham West PCN are seeking an experienced Personal Assistant to provide secretarial services to their Clinical Directors, namely Dr Tim Heywood, Dr Paul Scullard, Dr Emma Shapiro, Dr Mike O’Neill, and Dr James Read.

You will provide comprehensive business support to the Clinical Directors to enable them to carry out their operational and managerial duties.

Based in Nottingham West PCN, you will cover the following practices:

Beeston Neighbourhood:

  • Oaks Medical Centre, NG9 2NY
  • Abbey Medical Centre, NG9 2QP
  • Bramcote Surgery, NG9 3HF
  • Chilwell Valley and Meadows Practice, NG9 6DX
  • Manor Surgery, NG9 1GA

Eastwood Neighbourhood:

  • Newthorpe Medical Centre, NG16 3HU
  • Eastwood Primary Care Centre, NG16 3BS
  • Giltbrook Surgery, NG16 2GE
  • Hama Medical Centre, NG16 2NB

Stapleford Neighbourhood:

  • Saxon Cross Surgery, NG9 8DA
  • Hickings Lane Medical Centre, NG9 8PN
  • Linden Medical Group, NG9 8DA

You will be part of a wider team of PCN Administrative Support and supported by our Nottingham West PCN Business Manager, who is on the PICS leadership team.

Main duties of the job

KEY RESPONSIBILITIES

  • Setting-up meetings and taking minutes for the CDs
  • Collating follow-up tasks, reminders and chasing action points to keep the CDs updated of current progress
  • Diary management for all CDs

KEY REQUIREMENTS

  • Further or high education qualification (A-level or degree level)
  • Evidence of continuing professional development
  • Relevant experience/vocational qualification

Job responsibilities

JOB PURPOSE

As a Personal Assistant to the Clinical Directors, you will provide comprehensive business support to enable the Clinical Directors (CDs) to enable them to carry out their operational and managerial duties. This business support includes providing secretarial support to the CDs of Nottingham West PCN, setting-up meetings and taking minutes for the CDs, diary management, collating follow-up tasks, reminders and chasing action points to keep the CDs updated of current progress. You will provide high level efficient, comprehensive, and confidential secretarial and administrative service to the Clinical Directors within the Primary Care Network.

KEY RESPONSIBILITIES

  • To be responsible for ensuring that work is completed accurately within the time limits, framework and standards set.
  • To act on their own initiative in the absence of the Line Manager/Clinical Directors and without direct supervision.
  • To use their own initiative and judgement to resolve complex issues.
  • To manage and prioritise own workload with the ability to respond to urgent demand or tight deadlines.
  • Act as the first point of contact for the CDs screening calls, emails, and other communications appropriately.
  • Undertake complex diary management demonstrating an understanding of the workload of each CD so different commitments are prioritised appropriately.
  • Have an awareness of the deadlines that need to be met and ensure the CD is briefed and prepared to complete any relevant work and attend meetings.
  • Draft emails, letters, reports, presentations, and other documents/communications.
  • To organise high level meetings including the preparation of agendas, papers, and briefings, then distribute materials appropriately to relevant stakeholders. Meetings may include training days, interview days, and away days.
  • To provide administrative support to the CDs relating to project management, this may include setting own priorities within specified timescale, and chasing project stakeholders where deadlines have been et to ensure actions are being completed.
  • To take part in personal development: attending meetings relevant to own role, undertake appropriate training, and complete all statutory and mandatory training requirements in line with policy.
