Job summary

We are looking for a flexible, reliable and hardworking individual to join our team. The post holder will be part of our growing organisation and will be supported by the Practice Manager and colleagues.

Meden is a GP Practice with approx. 6,000 patients and a team of GPs, nurses and administration staff working from a purpose built premises. The practice is busy and we are looking for a person with experience of dealing with the general public that can manage situations as they arise.

Do you have the ability to experience a range of emotions daily and return positive and motivated the next day? Working within a GP Practice, you will experience a whole raft of situations which you will have to deal with in a resilient and confident manner. As a front line member of staff you will need to have a range of skills to ensure that the patient feels supported and comfortable including empathy, compassion, good communication, along with strong organisational skills and attention to detail.

Main duties of the job

KEY RESPONSIBILITIES

  • Welcoming patients and visitors to the practice.
  • Answering and appropriately referring enquiries
  • Anticipating patients anxieties and supporting them by answering questions or signposting them to correct services and utilising the resources that Meden Medical Services have available
  • Maintaining and updating patient records to a to a high standard
  • Contributing to the Meden Medical team

KEY REQUIREMENTS

  • Have the skills, knowledge and experience required to fulfil the job description
  • Have experience of performing reception duties (experience in Primary Care would be an advantage but is not essential)
  • Experience of using SystmOne (Patient Administration System) would also be an advantage but not essential as the necessary training can be provided.

Job responsibilities

JOB PURPOSE:

  • Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
  • Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of clerical support to clinical staff and other members of the practice team when required
  • Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

DUTIES AND RESPONSBILITIES:

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Reception Supervisor/Practice Manager, dependent on current and evolving practice workload and staffing levels:

  • Maintaining and monitoring the practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Filing and retrieving paperwork
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying and scanning
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
