We have an exciting opportunity for an enthusiastic Administrator to join our dynamic, Acute Home Visiting Service team. This permanent position is well suited to an individual who is enthusiastic about providing high quality administrative support.

Main duties of the job

KEY RESPONSIBILITIES

  • To act as an Administrator for the AVS service at Primary Integrated Community Services Ltd. Part of your role may involve working at multiple different sites in Nottingham, Newark and Sherwood and any other future service areas.
  • Taking telephone calls from practices logging Visits for the service, registering patients then passing the visit over to the clinicians out on the patch.
  • Offer general assistance to the PICS team and project a positive, friendly and empathetic image to patients and other visitors, either in person or via the telephone at all times.

KEY REQUIREMENTS

  • Excellent knowledge of Microsoft Office software
  • Experience in an admin/business customer service environment
  • Experience of dealing with sensitive/confidential information

Job responsibilities

JOB SUMMARY:

  • To act as an Administrator for the AVS service at Primary Integrated Community Services Ltd. Part of your role may involve working at multiple different sites in Nottingham, Newark and Sherwood and any other future service areas.
  • Taking telephone calls from practices logging Visits for the service, registering patients then passing the visit over to the clinicians out on the patch.
  • Cover the Front Desk act as a liaison source of information for staff (internal and external) in relation to PICS.
  • Offer general assistance to the PICS team and project a positive, friendly and empathetic image to patients and other visitors, either in person or via the telephone at all times.
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
  • Undertake a variety of administrative duties to assist in the smooth running of the PICS including the provision of secretarial and clerical support to clinical staff and other members of the PICS team.
  • Facilitate effective communication between patients, members of PICS, secondary care and other associated healthcare agencies.

DUTIES AND RESPONSIBILITIES:

The duties and responsibilities to be undertaken by members of the PICS administration team may include any or all of the items in the following list, and any other duties deemed commensurate of this role:

  • Acute Home Visiting Service taking Visits over the telephone passing to the clinicians via a clinical system.
  • Liaise with practices to provide a professional service.
  • Computer data entry/data allocation and collation; processing and recording information accurately.
  • Word/data processing, filing, photocopying, binding and scanning.
  • Taking messages and passing on information.
  • Provision of refreshments for staff and visitors as required; also keeping the kitchen area clean and tidy.
  • Keep the PICS clinical and administration teams informed of any matters arising as necessary, or as requested by other members of the clinical or administration team.
  • To provide cover for members of the administration team during periods of sickness and annual leave.
  • Appropriate smart business wear to promote a professional image of PICS is essential.
