Job summary

Our dynamic Patient Safety Collaborative Team is looking for a Programme Coordinator to come join them.

This is an exceptionally busy and fast-paced role that will require a proactive individual who has an understanding of health systems, is highly skilled in information gathering, problem-solving, event management, writing for different audiences, and also experienced in providing excellent support and project coordination.

Main duties of the job

This role requires specifically a background in working within a clinical setting or Patient Safety with experience of close collaboration with clinical staff. An understanding of health systems is paramount to this role.

THE SUBSTANTIVE JOB DESCRIPTION FOR THE ROLE IS ATTACHED IN THE SUPPORTING DOCUMENTS SECTION **

The specific area of responsibility for the role (at appointment and/or as appropriate for individual role holders) are outlined below. Please note that any specific area of responsibility is subject to change, according to future programme delivery requirements.

  • Support the PSL (Patient Safety Lead) with the smooth running of the PSC team including PSC team agenda, meetings, minutes and preparation
  • Support the PSL with national obligations as required including activities aligned to any workstream that KSS Patient Safety Improvement Programmes (PSIP) are specifically rolling out nationally
  • To have input into reporting requirements including the quarterly formal metric reports liaising with the PSL & PMO lead (eg Verto)
  • To have responsibility for pulling together regular PSC bulletins/ newsletter & distributing to stakeholders
  • Horizon-scan and report to wider team on any external news and/or communications related to Patient Safety and our workstreams
  • Actively engage with other PSCs Co-ordinators both internally and, the SE3 group of Oxford and Wessex
  • Horizon-scan and report on developments within PSIP being run across the wider PSC / HIN Network
  • To support the Associate Director and Programme Managers and understand expectations / priorities of each workstream
  • Work with the workstream lead to plan and prepare for collaborative events including generating a slidedeck, speaker biographies and other requirements
  • Be responsible for completing and analysing feedback following collaborative events
  • To maintain distribution lists for all PSC workstreams
  • Work with Communications on the PSC website and keep up to date with social media
  • Support the Associate Director and Programme Managers in ensuring that HIKSS PSC material and learning are shared on the relevant pages of the NHS Futures platform.

  • Experience of providing high-level administrative support, project management and event management
  • Competent in using analytical and database software, including extensive knowledge of MS Office, applications for managing, analysing and presenting information and other relevant social media platforms.
  • Experience of using content management systems and social media for business
  • Experience of conducting evidence-based research e.g. literature reviews, primary and secondary research, market evaluations, horizon scanning
  • Experience of communicating with a wide range of professionals
  • Experience of writing targeted messages and information for different audiences, for both printed and digital communication
  • Experience in prioritising workload for the programme manager to ensure priorities are flagged up.
