Main duties of the job

To be responsible in the provision of and maintenance of a comprehensive Domestic and Housekeeping service in accordance with the specification for domestic services and to deputise for the Domestic Services Manager in his/her absence.

Manage staff effectively and ensure efficient working practices and standards are in place, ensuring adherence to standard operating procedures and assisting with development of.

Support the Domestic and Housekeeping Manager to effectively manage the staff to ensure national cleaning standards and local targets are met and exceeded.

Principle Duties and Responsibilities

Supervisory/Management.

  • Responsible for the day-to-day co-ordination and monitoring of the domestic and housekeeping service provided, identifying changes in service provision with the Domestic and Housekeeping Manager. To assist in first line negotiations regarding variations to contract.
  • Responsible for the maintenance of data records necessary for the provision of accurate statistical returns/reports e.g. sickness, annual leaves, vacancies etc.
  • Responsible for the delivery of staff annual development reviews that identifies their training needs and service delivery.
  • Responsible for carrying out regular management supervision with staff on a bi-monthly basis.
  • Responsibility to ensure that all staff attend meetings, training or refresher courses to ensure full compliancy of the Trust Statutory Mandatory Training Programme.
  • Responsible for ensuring an effective communication channel is maintained between the Domestic and Housekeeping Manager, Supervisors and Domestic and Housekeeping Teams.
  • Responsible for organising and undertaking staff induction/local orientation and on the job training as required and ensuring that Trust and local Policies/Procedures are adhered to.
  • Responsible for updating work schedules. To deploy and develop staff to maintain the service laid down in the specification.
  • To deal with frequent interruptions due to unexpected occurrences. Due to staff shortage and crisis on the ward area.
  • Responsible for carrying out quality monitoring audits utilising the FM First electronic auditing system and reviewing quality control systems with supervisors and completion of documentation in conjunction with the management, on a monthly basis.
  • Responsible for initial counselling of staff and reporting to line manager any matters that may require disciplinary action, ensuring accurate documentation is completed, recorded and filed for future reference. Liaising with the Facilities Administration Team to ensure follow up letters are processed.
  • Responsible for maintaining staff attendance/sickness records, monitoring attendance and initiating follow up action on excess levels of absence, ensuring documentation is completed and filed for future reference.
  • Overall responsibility for carrying out First Stage Sickness Absence reviews, liaising with the Domestic and Housekeeping Manager to update them of the current situation and ensuring all documentation is completed and up to date and filed for reference.
  • In conjunction with the Recruiting Manager, participating in recruitment of new staff, interviewing and engaging staff in accordance with Trust policies on Equal Opportunities, Sex Discrimination and Racial Discrimination, including the checking of necessary documentation where necessary.

Operational

  • Responsible for dealing with all complaints quickly and efficiently ensuring all relevant documentation is completed. Bringing to the attention of the Domestic and
  • Housekeeping Manager any matters of a more serious nature that may affect the smooth running of the department.
  • Responsible for reporting any changes which may impact on services eg: Change of Occupancy or usage.
  • Overall responsibility to ensure all Contractors visiting site are accompanied at all times whilst on the premises.
  • Responsible for monitoring the use of cleaning materials and equipment and ensuring that accurate stock control records are maintained, including requisitioning and distribution responsibilities.
  • Responsible for testing new methods and equipment, purchasing and installation in conjunction with the Manager.
  • Overall responsibility for ordering, controlling and issuing of cleaning materials/equipment to domestic staff, and to monitor and maintain accurate stock levels and records.
  • Overall responsibility for ensuring that all cleaning materials are correctly stored/marked and are easily identifiable in accordance with COSHH regulations.
  • Responsible for ensuring all new staff have completed the British Institute of cleaning science certificate training and assessment.
  • Responsible in conjunction with the Domestic and Housekeeping Manager in the monitoring of all contracts, ensuring that work is carried out by contractors to the required specification and liaising with contractors on site as necessary.
  • Frequent exposure to dust and dirt.
  • Responsible for providing cover for supervisors annual/sick leave during times of emergency across trust sites.
  • Responsible for undertaking any Ad-Hoc duties as required by the Domestic and Housekeeping Manager and Facilities management, commensurate with the grade of the post.
  • To be responsible for the authorisation of clocking in and time sheets, ensuring correct hours are recorded onto the electronic clocking in system, and staff attendance and punctual is monitoring accordingly.
  • Responsible for dealing with staff welfare problems (i.e: pay discrepancies) in conjunction with salaries and wages.
