Job summary

The Education Administrator Assistant will work closely with the SPCT Locality Lead, GMTH Office, HEIs, as well as the individual practices within the networks.

The role is to provide comprehensive, effective, and confidential support to the pre-registration students we host across the practices in Salford and Trafford and to work with the HEIs and GMTH in the planning and administration of placements for our pre - registration students.

The Education Administrator Assistant will manage & provide comprehensive, confidential & coordination to support the smooth running of Student placements within the organisation with regards to quality, capacity & managing risk, using negotiating skills to ensure continuity of placements.

Main duties of the job

To liaise with Students, practice colleagues & partnership universities demonstrating tact, diplomacy & clarity in all communications. Complex, sensitive & confidential information will be provided & received & must be always handled professionally (for example performance & personal issues).

To deliver Student Induction independently plan & administer & sometimes, monitoring attendance & reporting non-attendance as appropriate.

To manage & co-ordinate student compliance in Mandatory training. Responsible for ensuring the monthly reporting system is current and accurate, analysing & assessing problems areas & reporting appropriately on them.

To lead on PARE the University allocation systems including training all staff as required how to access and trouble shoot.

To manage Practice Supervisor/Practice Assessor/Practice Educator database

Job responsibilities

Act as first point of contact for the practices and students dealing with all enquiries in a proactive manner, judgement skills required and solution proposing for complex enquiries.

Coordinating learning and education sessions across Salford for clinical and non-clinical staff

Complete the process of the practices becoming an accredited learning environment.

Update in a timely manner placement sheets of learners within the Salford and Trafford services, practices and provide ongoing support.

To coordinate teaching sessions and opportunities for staff across Salford such as PN forums.

Produce reports as and when required for GMTH

Support placements with timetable examples and supporting documentation

Keep up to date records of placement accreditation/ reviews and all student allocations

Keep up to date records of financial transactions relating to student placements.

Assist new placements with the Accreditation process.

Other administrative duties may include dealing with enquiries, monitor inboxes and supporting meetings.

Ensuring CPD training is distributed to staff that are eligible to attend and that the databases for this are kept up to date and accurate.

Student Support

To build and maintain relationships with clinical areas and to support students whilst on placement trouble shooting and dealing with issues as they arise reporting significant concerns to the Student Placement Team at the HEI.

Student Induction

Plan and co-ordinate Student Induction.

Liaise with appropriate Universities contact to ensure all students receive appropriate inductions. Monitor and record attendance and report Universities and placements of non-compliance and ensure students are compliant before placements commence.

Record all information regarding induction using allocation lists from universities. Monitor compliance and reporting to Student Placement Team.

Data Management

Conduct regular audits relating information available on PARE and training quality processes.

To produce appropriate proformas, spreadsheets and databases as required. To enter data on and maintain spreadsheets/other forms of record for example on student placement evaluation and induction attendance and evaluation.

To co-ordinate and organise meetings, update website calendar with induction dates and training.

Implement data and manage system for student placements and allocations.

Communication

Liaise, communicate, and maintain effective working relationships with all training providers and users, internal and external, in the day-to-day business of the Academy.

Monitor the attendance of courses, following up those who fail to attend.

To keep accurate and complete records of communication consistent with RHA policies and procedures.

Resolving complex and conflicting issues which may arise as appropriate using experience, tact and diplomacy to achieve resolution.

Information Resources
