Job summary
The Personal Assistant provides hands-on support to the Chief Accountable Officer and Board of Directors, through the proactive organisation of calendars, emails and oversight of ongoing business projects. Coupled with this is the general management of the office, performing routine administrative tasks, and taking personal responsibility for a range of delegated matters.
The PA is required to always maintain strict confidentiality and sustain a high level of professionalism among staff and third parties - sensitivity, tact and confidentiality are essential requirements of this key role.
The ideal PA will have previous experience in a similar role. You will need to be highly professional in both your manner and presentation. This will suit a pro-active self-starter with an ambitious and energetic nature. Exceedingly good communication skills and the ability to form strong working relationships both internally and externally is essential. Outstanding organisation skills and the ability to plan and prioritise are essential along with the ability to meet and deliver on deadlines. As well as having the ability to analyse and problem solve you will require excellent attention to detail.
Main duties of the job
To support the Chief Accountable Officer and Board in the delivery of high quality primary health care across Salford
To ensure the smooth running of the office and effective internal and external liaison to contribute to the successful running of the business
Prioritise the Chief Accountable Officer's workload effectively to ensure that meetings and reports are provided in a timely fashion, ensuring the CAO is appropriately briefed
Develop & maintain an understanding and knowledge of the broad spectrum of work areas the CAO is responsible for, in order to maximise the support given and to support decision making
Complex diary & email management to ensure efficient use of time and establish meetings including a wide range of senior staff across the NHS
Taking and distributing minutes in a timely fashion. Logging actions & ensuring they are followed up to completion
Communicate on behalf of the CAO, liaising with suppliers, customers/stakeholders, Board members and colleagues
Facilitating & supporting Board meetings and the annual AGM
Maintain an up to date confidential list of all appropriate contacts
Provide support with the recruitment of & guidance for departments & directorate
Manage & lead ad-hoc delegated projects as required
Manage the organisations head office, including liaison with building management
Undertake any other reasonable duties as required
