An exciting opportunity has arisen to join our team at Robin Lane Health & Wellbeing Centre, Pudsey, as a Practice Administrator.
We are looking for an enthusiastic Practice Adminsitrator to join the team, working full time hours Monday to Friday, between the hours of 08:00 starts & 18:30 finishes.
Main duties of the job
To provide an effective administrative service to clinicians. Carrying out a variety of administrative tasks and
being proactive in decision making.
To deliver a high quality and consistent
Clinical Notes Summarising service for both practices within agreed
procedures, standards and timescales.
Be responsible for accurately read coding incoming electronic and paper
hospital correspondence as required.
To be well organised and provide excellent
customer service for patients and clinical teams at all times.
To
welcome patients presenting either in person or by telephone; ensuring you
respond promptly and positively.
Additional duties as needed by line managers which are
within the scope of this role.
Reporting into your line manager and giving
regular updates on day to day issues.

Job responsibilities
- Book appointments for patients and cancel appointments where needed
- Support patients in navigating to the most appropriate service, which may include informing patients of external health care providers and online services
- Effectively handle all queries that present at the practice; problem solving, signposting and escalation of matters, as appropriate
- Ensure patient records are accurate and kept up to date and that all patient contacts are documented in the system using the Care Navigation Template
- Coding of incoming hospital correspondence both electronically and in paper format daily
- Processing medical reports and copy records and liaising with insurance companies / solicitors / patients etc with queries relating to these
- Collecting correspondence from in trays at Robin Lane and distributing as necessary
- Frank Royal Mail post and take this to the post office daily as well as any recorded delivery items/parcels etc
- Provide cover for practice emails, dealing with patient queries and communications from external providers, transferring any documents across to Systm One, forwarding any queries to the relevant person and following up and taking action where needed
- Process patient deductions and prepare for collection by City Sprint
- Process GP Links dealing with all amendments in and out, FP69 alerts, registration queries, medical record flag removals and deductions
- Unpacking and recording new notes received into the practice
- Processing electronic cards and prior notifications on Open Exeter (cervical screening)
- Summarising new patients records to practice deadlines
- Reviewing medical records to provide a comprehensive summary of the medical history
- Follow practice protocol to summarise patient records and accurately assign codes to produce a succinct and relevant record onto the patients summary
- Triage unassigned tasks to the relevant department/person
- Although you will carry out certain tasks for one practice in some cases you may be required to cover certain duties for both practices
- Creating monthly invite letters for coils and implants (Robin Lane)
- Forwarding death certificates and cremation forms to relevant authorities
- Actioning GP2GP Tasks
- Performing ad-hoc tasks from clinicians and other colleagues as they arise
