Job summary

The P-RESET Administrator will be a key member of the team who will contribute and support the delivery of the Tower Hamlets Drug & Alcohol Support Service (P-RESET). They will support administrative systems across the whole service including how information is collected, used, stored and analysed to ensure that the service is aligned to best meet the needs of our Tower Hamlets general practice providers and LBTH Commissioners (Drug and Alcohol Action Team DAAT with Public Health). Providing information, advice and support to the Service Lead and Clinical Lead of the service team to develop, deliver and maintain a dynamic and effective service.

Main duties of the job

  • Arrange meetings required for service delivery, including room bookings, minute taking and ensuring dissemination of reports and documents.
  • Responsible for agreeing with the Service Lead items for agendas and distributing the papers for service management meetings.
  • Responsible for the maintenance of the practice NDTMS lists and distributions.
  • Responsible for keeping up-to-date information on practices and their staff.
  • Responsible for sending quarterly financial information to practices in collaboration with the TH GP Care Group Finance Team.
  • Monitoring progress against practice financial invoicing and liaise with TH GP Care Group Finance team.
  • Carry out ad-hoc administrative duties, including calculating costs and compiling information into spreadsheets, bringing together information from various sources and chasing contributors.
  • Manage confidential data in an appropriate manner and in accordance with the Data Protection Act.

  • Support the P-RESET Service Lead in the day-to-day management of the service.

  • Act as an initial point of contact (telephone and email) to deal with service enquiries, prioritising and referring as appropriate.
  • To support setting up, co-ordinating or attending training events as appropriate working in close partnership with CEPN and the clinical lead team, and other agencies e.g., RCGP.
  • To be responsible for maintaining a training register by practice.
  • Responsibility for the maintenance of the DARD lists and distributions.
  • Supporting with meetings as a rep from P-RESET, council meetings, monitoring meetings, and Reset meetings.
  • Support with report writing newsletters, service policies, exception reports, monitoring reports, annual reports.
