Job description

Job responsibilities

Overall Job Purpose: To assist and support the Laboratory Support Team Leader in the provision of a managed service that will ensure efficient and effective use of laboratory facilities. To be part of the team that aims to deliver on an optimum configuration of Rapid Response Laboratory and Core Laboratory facilities. By reducing facility downtime, you will contribute to a robustness of service that will ultimately improve patient pathways.

Main Duties:

To include, but not be restricted to, the following duties:

1. Responsive Maintenance for Equipment a. Logging equipment faults with the manufacturer.

b. Repairing equipment with assistance from manufacturers telephone support.

c. Logging confirmation on system for engineer call-out (if and when required) for faulty equipment. Keeping all other Stakeholders (e.g. TDL/Trust/Customer/Analytics LLP where necessary) informed of progress with regards to faulty equipment.

d. Inform manufacturer of parts used in course of self-repair. Arrange for additional spare parts etc to be supplied.

e. Following up with Manufacturer with regards to engineer performance. Be responsible for ensuring engineers attend as and when expected. Updating all Stakeholders (e.g. TDL/Trust/Customer/Analytics LLP where necessary) of impact to service of any disruption to service as a result of maintenance and/or engineers. Responsible for escalating where deemed necessary.

f. Logging of equipment faults and progress throughout the repair/maintenance cycle through to being back on-line.

g. Provide approval for self-repair if appropriate. h. Liaise with manufacturer regarding repair (: remote support).

2. Equipment: Cyclical maintenance:

a. Liaise with manufacturer re: changes to be made to cyclical repair program.

b. Inform sample collection team of where samples should be delivered whilst equipment is offline.

c. Inform Analytics LLP (as TDL/Trust nominee) of maintenance visit and anticipated equipment downtime.

d. Feedback to Contract Review Committee on the effectiveness of programme, and downtime from failure to comply.

e. Agree date of the on-site maintenance visit.

f. Agree cyclical maintenance programme.

3. Stock and Procurement:

a. Agreeing minimum stock levels and stock levels required at the RRLs and Core Laboratory.

b. Determining preferred maximum stock levels at the locations, as well as, at the warehouse/storage facilities.

c. Publishing minimum stock level requirements so as to ensure that FM LLP staff, as well as, users of the facility can easily identify when stock is close to or below agreed threshold.

d. Monitoring stock levels against agreed minimum stock levels to ensure that sufficient stock is on hand at all times.

e. Physically counting and checking stock delivered against delivery note. Flagging and troubleshooting any discrepancies. Escalating to FM Operations Site Lead where necessary.

f. Logging of delivery on system.

g. Checking the quantity of units on delivery note against PO. Flagging and troubleshooting any discrepancies. Escalating to FM Operations Site Lead staff where necessary.

h. Posting final value and quantity into ledger system.

i. Ensuring that stock is delivered by the Supplier to FM LLP premises.

j. Checking that call-off stock is required in laboratory stock room and ensuring that minimum agreed stock levels are in place. Where necessary, completing a call-off stock delivery request form.

k. Reviewing completed call-off stock delivery request forms.

l. Determining the call-off stock requirements for the RRLs, Core Laboratories etc. so as to ensure that the agreed minimum and maximum stock levels are maintained.

m. Complete call-off stock request form and assess if call-off stock required. Submitting requests when necessary.

n. Agreeing call-off stock requirements so as to ensure that the agreed minimum stock levels are maintained.

o. Determining the standing order stock requirements for the RRLs, Core Laboratories, etc. so as to ensure that the agreed minimum and maximum stock levels can be maintained.

4. Supporting other Facilities from time to time there may be a need to support other FM facilities within the Network of laboratories.

Training and Education:

1. To maintain own personal development and attend departmental meetings as required (maintaining CPD as required).

2. To take an active interest in and keep abreast of developments in the discipline.

3. To further develop junior colleagues by assisting in the training of staff, and to undertake, complete, and sign off all competencies as requested of you by Senior Management.

4. Mandatory training as per the requirements of the contracts with the HSL.

General Duties:

To become familiar with the day to day organisation of the Laboratory as it affects your work. You should be aware of the functions of the members of staff in the Laboratory as they affect your work.

To attend laboratory meetings as required.

To undertake such work as you are assigned in a careful and efficient way and in compliance with current quality standards, regulatory requirements and the HSL Quality Management System.

To communicate in a friendly, helpful and non-prejudicial manner in your dealings with staff, clients and / or customers as you will be regarded as a representative of your Laboratory as well as the Company, and you should behave accordingly. Matters regarding patients are confidential and must not be discussed except in the course of your duties. You will be expected to sign an undertaking to observe all patient and Company confidentiality.
