This is an exciting opportunity for an enthusiastic, motivated individual with proven Medical Secretarial skills to join our well established, friendly Cellular Pathology reporting team.
You will provide strong medical secretarial/administrative support and therefore candidates must be able to work as part of a team as well as independently and have a strong background in diagnostic reporting and administration within the NHS/Private clinical environment. You should also be able to work accurately and methodically and be able to work under pressure whilst maintaining composure.
Main duties of the job
This role will help you cement and progress your existing experience working within the healthcare sector. Main duties of the job You will provide a high quality, proactive and effective secretarial/administrative service to the consultants and registrars within the diagnostic team under the supervision of the Office Manager. You will be asked to undertake a range of administrative and secretarial duties, such as transcribing of dictation, report typing and telephone queries. This role requires strict attention to detail and the ability to prioritise your workload and use your own initiative under the managers guidance. Your work must be of a high standard and you must have the ability to maintain confidentiality and be familiar with the General Data Protection Regulation (GDPR). We are looking for someone who is self-motivated, able to multitask and is keen to learn.

To include, but not be restricted to, the following duties:
1. To generate reports for cellular pathology cases requiring accurate transfer of clinical and
specimen details from request forms to the Copath Laboratory Information Management
System (LIMS), audio typing of macroscopic description, copy typing of microscopic description
and diagnosis and supplementary reports where appropriate, in so doing meeting deadlines on
a daily basis, prioritising work as necessary to ensure that reports are issued as quickly as
possible.
2. To deal with telephone, fax and personal enquiries, internal and external, routine and complex,
from clinical staff, administrative staff and from patients or their relatives, ensuring that
department protocols for the release of information are closely adhered to at all times.
3. To perform general clerical duties including filing, photocopying, printing and postal duties,
confidential waste management, collection and distribution of incoming mail, location and
collection of medical records.
4. To monitor and conduct simple maintenance of printer, fax and photocopier machines and to
utilise word processing systems (including the voice recognition and digital dictation system), as
appropriate.
5. To assist when necessary with the accurate booking in of all referral cases on the LIMS, ensuring
all material received is labelled correctly and cases are presented to the consultant pathologist
in a timely manner.
6. To use the LIMS to competently monitor the unreported (backlog) list, auditing missing
information and sign off reports from the system.
7. To provide secretarial support for medical staff and laboratory management by taking telephone
messages and drafting or typing letters or circulating emails, as required.
8. To attend regular office team and 1-2-1 meetings to discuss and assist in implementing
improvements for the service.
9. To assist in other sections or locations when required
