Job Summary
An exciting opportunity has arisen for a manager to join our friendly, expanding team. This role will be responsible for the operational management of all aspects of our Planned and Primary Care Services and its associated staff. This role will lead and work with the team in providing an approachable, caring and well organised service, which thereby assists with the smooth running of Planned Care and Primary Care Services.
We are looking for someone who has had key previous experience of leading and managing a team within an NHS, community based or office environment, who is able to demonstrate excellent communication skills and able to deal clearly, efficiently, and confidently with our service providers, patients, and wider staff.
Exceptional organisational skills are needed for this role with the ability to multitask and work well under pressure being essential. Excellent administration experience, keen eye for detail and sound IT skill are essential for this role such as Microsoft Office, Excel, PowerPoint, Microsoft Teams with the ability to analyse and report data.

Primary Responsibilities
- Provide visible leadership across the services and to be a point of contact for both operational and clinical teams to ensure the smooth running of the services
- Ensure robust operational team of Administration and HCAs are in place with appropriate multi-skilling and training
- Overall management of Primary Care Services, IT, staffing, equipment, and general daily running of the department.
- Deputise for the Operations Director for holidays and absence
- Responsible for the monthly and quarterly uploads onto the Portal to ensure that all activity is accurately encountered.
- Responsible for completing operational staff monthly audits, and quarterly Audits are maintained to a high level
- Recruitment, induction and training of Administration staff and Health Care Assistants
- Performances manage staff as necessary with the support of the Operations Director if required
- Following the organisations attendance policy for all staff absence including return to work (RTW) meetings and documentation
- Deliver staff management that encompasses pastoral care, develops career pathway options and supports the Admin, Healthcare Assistant, Nurse, Reception and driving staff retention rate target
- Appraisals and performance management of staff, including attending and supporting the quarterly team meetings with the Operations Director.
- Leading, monitoring, motivating and inspiring the team; providing guidance and support
- Review of existing policies, standards and procedures while implementing new best practices to ensure a seamless delivery of Administration and HCA services.
- Complaint and incident handling, ensuring that actions generated for them are dealt with by the deadlines given.
- Ensure all work instructions and local operating procedures are kept up to date and create new ones when necessary.
- Work closely with the Operations Director to maintain a full understanding of service requirements
- Ensure external sites are operating in line with CQC guidance and policies work closely with the Manager and Governance Lead to ensure both sites and staff are compliant
- Ensure we are IPC compliant and work closely with the IPC to ensure you have a good understanding of these requirements for compliancy
- Ensure all staff fully understand the drugs/prescription process and are completing the relevant documentation
- Equipment and stocks in all bases need to be documented and maintained. This will be led by the HCAs, with overall supervision from the Service Manager and Nurse Lead.
- Ensure KPI targets are met against patient surveys for PCS.
- Ensure all IT and telephony is working on all sites and within the office environment.
- Regular site visits to each base, undertake quarterly site spot check audits
- Prepare different type of audits as required.
