Our Practice has an exciting opportunity to expand their workforce and are looking to recruit a receptionist.
We are seeking an enthusiastic and forward-thinking receptionist to join our Practice. We want to find the best talent to join our team. You will be part of a group of receptionists/administrators, working under the supervision of Admin & Practice Manager to deliver care, in line with job specification and agreed specific service offer, to our patients.
Main duties of the job
Effective patient administration and reception services is an essential part of providing good, timely, and safe service to our patients. The primary responsibilities of this post, is to provide comprehensive, effective and flexible clinical administrative support within the practice to help support clinicians. We are looking for a candidate who is also willing and able to work with the practice team to develop new ways of working within primary care.
Duties and responsibilities:
The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Practice Management team, dependent on current and evolving practice workload and staffing levels:
Opening up/locking up of practice premises
Competent use and understanding of the practice appointments system
Handling personal and telephone requests for appointments, visits and telephone consultations
Processing and distributing incoming (and outgoing) mail including e-mail
Filing and retrieving paperwork
Computer data entry/data allocation and collation
Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers

Primary Responsibilities
The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
Maintaining and monitoring the practice appointment system
Process personal, telephone and e-requests for appointments
Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
Signpost patients to the correct service
Initiating contact with and responding to, requests from patients, team members and external agencies
Photocopy documentation as required
Data entry of new and temporary registrations and relevant patient information as required(on completion of internal training)
Input data into the patients healthcare records as necessary
Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team
Manage all queries as necessary in an efficient manner
Maintain a clean, tidy, effective working area at all times
Monitor and maintain the reception area and notice boards
Support all clinical staff with general tasks as requested
Completion of administrative tasks in relation to patient results and letters
Secondary Responsibilities
In addition to the primary responsibilities, the receptionist may be requested to:
Partake in audit as directed by the audit lead.
Support administrative staff, providing cover during staff absences, with training.
Action incoming faxes when necessary
Scanning of patient related documentation and attaching scanned documents to patients healthcare records (on completion of internal training).
Complete opening and closing procedures in accordance with the duty rota
As required support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
