Job responsibilities
Staffing
and People Management
Evaluate,
organise and oversee staff induction and training and ensure that all staff are
adequately trained to fulfil their role.
Support
Group Practice Manager in workforce planning and co-ordinating the recruitment,
induction and training of new staff.
Planning and recruitment
of Locum cover.
Prepare weekly/monthly
shift planning for Practice Staff, (including clinical and non-clinical) and
arranging cover (including locum cover) when necessary.
Identify training and
development needs for Practice staff.
To monitor staff annual
leave, sickness and absence and mitigate any impact to practice staffing rotas.
Ensure all Practice staff
are aware of the need for confidentiality, both of patient and practice information.
Create a team culture and
professional working environment within the teams and sites, developing the
team to reach their goals with a program of coaching, supporting and motivating
staff to promote effective team working and individual capability in a
performance driven function.

To read and be aware of

work towards achieving these, including:

To be updated with
specifications on an annual and ad hoc basis of all requirements.
Monitor and evaluate
performance of the Practice team against objectives; identify and manage change
Monitor quality of
workload delivered by the team and make sure all workload is completed daily
and collectively by the whole team.
To plan and implement
processes to achieve targets with GPs, Nurses and Group Practice Manager
Support and work with
Group Practice Manager, General Practitioners, Nurses and administrative staff
to achieve targets.
Strategic
Management and Planning
Keep abreast of current
affairs and identify potential threats and opportunities.
Contribute to Practices
strategic priorities, formulation of objectives and research and development of
ideas for future Practice development.
Work with the Group
Practice Manager in planning and setting strategic targets.
Undertake required and
agreed tasks, taking full responsibility for them.
Play an active part in
development and maintenance of effective communication both within the Practice
and with relevant outside agencies
Assist in assessment and
evaluation of accommodation requirements and assist in management of
development and expansion plans
Financial Management
Understand and report on
the financial implications of contract and legislation changes.
Manage appropriate
systems for handling and recording of cash and cheques and petty cash.
Report efficiently to
Group Practice Manager and to the finance department all required monthly KPIs.
Be efficient in
purchasing and stock control.
Organisational
Convene meetings, prepare
agendas, write minutes and ensure distribution of minutes with action logs as
necessary.
Take active part in
development of Practice protocols and procedures, review and update as required.
Ensure that cleaning and
hygiene standards are properly maintained, and adequate fire prevention and
security systems are in place.
Ensure the procurement of
Practice equipment, supplies and services within target budgets.
Present
performance reports in a clear and reasoned format for a variety of audiences
including senior leadership team, commissioners and presentation of committee
reports.
Patient
Services
Adopt a strategic
approach to the development and management of patient services
Ensure service
development and delivery is in accordance with local and national guidelines
Ensure that the Practice
complies with NHS contractual obligations in relation to patient care
Maintain registration
policies and monitor patient turnover and capitation
Oversee repeat
prescribing systems
Manage an effective
appointments system
Oversee and organise
surgery timetables, duty rotas and holiday cover
Routinely monitor and
assess Practice performance against patient access and demand management
targets
Develop and implement an
effective complaints management system
Willing to take active
part with patient groups/PALS
Information
Management and Technology
Ensure that analytical
knowledge is applied and make sure that development and understanding of key
essentials are met. These are:

Evaluate and plan
Practice IT implementation and modernisation
Keep abreast of the
latest development in primary care IT including DoH initiatives such as EPRs
and disease coding, and regularly update the Practice management team
Motivate, support and
monitor staff in the use of IT; organise, oversee and evaluate IT training
Set and make sure that
targets and monitoring standards for data entry and data collection are
achieved
Ensure and be aware of
Practices effective IT data security, back-up, maintenance and disaster
recovery plans in place
Personal/Professional
Development
The post-holder will participate in any training programme implemented
by the Practice as part of this employment, such training to include:
Participation in an
annual individual performance review, including taking responsibility for
maintaining a record of own personal and/or professional development.
Taking responsibility for
own development, learning and performance and demonstrating skills and
activities to others who are undertaking similar work.
Take personal
responsibility for mandatory training to be kept in date and up to date.
