DUTIES AND RESPONSIBILITIES
Key responsibilities: -
· Provide project management for identified elements of the digital programme – in addition to supporting, facilitating, and monitoring progress of all projects across the digital programme. The postholder will also be expected to support performance improvement where identified.
· Provide high quality project management support for multiple stakeholders which will include administrative duties, project information, project analysis and documentation management.
· Undertaking discovery work for Optometry and Dentistry sectors for the Data Security and Protection Toolkit workstreams.
· Where required provide supervision, training, and support to any future recruited Project Support Officers
· Participate in the facilitation and delivery of development workshops, through a variety of methods, taking an active and visible role in the planning, development, and delivery
· Provide effective communication and stakeholder management, both internally and externally
· Identify potential improvements to projects, systems and processes, document and escalate these appropriately
· Assist with the project management and implementation of service developments, including taking a leading role in any necessary actions to support training and learning needs
· Scoping relevant regional stakeholders and building a network to support future digital implementation
Communication
Communication is a key feature of this post and to successfully undertake the core job purpose the post holder must be able to effectively communicate and work in partnership with an array of individuals, organisations, and agencies across different sectors.
· Support effective working relationships with all stakeholders Effectively communicate with an array of individuals & organisations.
· Use persuasive, motivational and training skills as required (this may include providing motivational messages/information to persuade key stakeholders of the importance of the project)
· Deliver routine presentations as and when required
· Work with colleagues across N3i and NHSE partners to provide effective real time performance reporting, advice, and support, also identifying opportunities and recommending solutions for service delivery/service improvements.
· Support and coordinate internal communications mechanisms
· Provide clear and constructive information to staff, service users, the general public in dealing with the communications regarding the Team and its resultant projects
· Providing and receive complex/sensitive communication
Analytical Tasks
· Support the team’s analytical work; ensuring that data is high quality and supporting the use of published data to raise quality standards.
· Responsible for analysing and reporting on information from a range of projects (e.g., performance/ evaluation), as well as other real time patient data such as patient satisfaction surveys and case studies
· To work with associated leads on the development of new working practices for services based on data obtained from services during service development work or national/published data/standards
Planning and Organisational Skills
· Support implementation of a wide range of large scale and often very complex projects/service development initiatives through timely and relevant information analysis and administrative support, in accordance with the agreed priorities of the team. Supporting the implementation of multiple projects at the same time.
· Support the implementation of the performance and administrative systems across the team.
· Organise and administer a range of meetings and/or events.
· Assist in the diary management requirements of individuals in connection with portfolios of work.
· The Post holder is expected to plan and organise own time to meet continual and often conflicting deadlines, flexing according to meet need and changes in project prioritisation.
Physical Skills
· Keyboard skills and experience of using a range of software are required with a high level of accuracy for maintaining/ coordinating key administrative functions
· Travel to meetings as and when required to undertake the role
Policy and Service Development Implementation
· Adhere to organisational policies in own work area.
· Contribute to on-going development of policies within own work area.
Responsibilities for Financial and Physical Resources
· The post holder will be responsible for the care of their own equipment (for example IT, engagement resources, display resources, records) and on occasion care of equipment on loan from other agencies.
· The post holder will be responsible for the ordering of stock/ materials associated with project implementation and mobilisation as well as any resultant stock control.
Responsibilities for Human Resources
· Work with team members to achieve goals set by programme managers.
· Support training and induction of staff as required.
· Participate in recruitment processes as required.
Responsibilities for Information Resources
· Prepare and deliver reports on activities individually and collectively, e.g. monthly reporting against service indicators.
· The post holder will be required to record accurately any other information as required for example completing incident forms, governance documentation, risk assessments, action points from meetings.
· Carry out timely and accurate information analysis and reporting on agreed areas of portfolio and present findings in an agreed manner.
Responsibilities for Research and Development
· Assist with the collation of information to provide accurate reports associated with project delivery.
· The post holder is required to fully participate in the evaluation of activities including contributing to reports, meetings, groups, etc
· Assist in undertaking audits on projects, services, and initiatives.
Freedom to Act
· The post holder will manage and organise their own workload, use own initiative and work within the organisations policies and procedures.
· The post holder will work without supervision.
· Able to work on own initiative, organising and prioritising own and others workloads to changing and often tight deadlines.
· Overall work is managed rather than supervised.
