Job summary

West Kent Education Network (WKEN) is looking to recruit an organised and professional Primary Care Network Education Administrator to provide extensive admin support to the Community Education Facilitators and multi professional leads within each of the 9 PCNs across West Kent. The Administrator will support the Business and Operations Manager and a multi-disciplinary team with high quality project and admin support.

Main duties of the job

Main Duties and Responsibilities:

To provide extensive admin support to the CEF and Multi Professional Lead within each of the 9 PCNs in West Kent

Coordination of CPD data: Monitor and evaluate feedback and teaching to identify CPD requirements

Management of admin processes within each PCN

Coordination of operating and strategic meetings (along with attending these meetings, minute taking, and management of the actions log and conflict of interest register)

Collecting and organising workforce data, as directed by the CEF / MD Lead

Attend monthly WKEN Ops meetings to provide an overview of recent activity

Coordination of placements and educational processes

Manage various funding streams including tariff across the PCN

Timetabling of educators and learners

Sift communiques highlighting key documents and content for the education system leads

West Kent Primary Care will act as lead employer for this role and will support the post holder in their work. Salary is dependent on experience, qualifications and includes NHS Pension. Due to the nature of work and the vast distance of West Kent it would be desirable for applicants to possess a driver license.

In light of the external challenges facing the community care sector, The WKEN, in partnership with Kent & Medway (previously West Kent) Clinical Commissioning Group (KMCCG), has been established with the mission of "Making West Kent a great place to work". Operating as a not for profit organisation, the network aims to work collaboratively with primary and community care organisations to develop education programmes, projects, placements and opportunities to support a rewarding career in Primary and Community care in West Kent.

The Community Education Facilitator (CEF) is a fundamental part of work being undertaken by WKEN Training Hub to support the Kent and Medway Medical School (KMMS) and also forms a key element of the place-based learning national and locality pilots that are being led from East Kent. The CEF role is undertaken by a GP and appointed by the PCN, to provide leadership related to education and professional development. In participating in CEF West Kent PCNs will be preparing for the breadth of workplace learners and shaping what ‘excellent’ placements need to look like as well as informing changes nationally in how clinical education is delivered in health for the future. For those PCNs who are not yet ready or eligible to receive KMMS students in 2020 engagement with CEF will help prepare the PCN for 2021 expressions of interest.

The PCN Multi Professional Leads will continue to provide support and expertise in the development of PCN’s in West Kent on behalf of West Kent Education Network (WKEN). They will provide a nursing and multi-professional voice within Primary Care to embed the WKEN aims of Recruit, Refresh, Train and Retain and support the WKEN vision to embed a culture of place based learning, including increasing high quality placements throughout West Kent. To promote coaching, mentoring and leadership opportunities across the PCN multi-professional workforce and to develop functions/processes of the PCNs which help practices work collaboratively, share good practice and achieve efficiencies through economies of scale. Also to provide support to PCNs for effective continuing professional development.

PCN Administrator Job Description

Job Title: PCN Administrator – 1 year fixed term contract

Reports to: WKEN Business and Operations Manager

Hours: 9am – 5pm

Base: TBC plus Home working. Travel expenses will be covered outside of your normal place of work

Salary: Band 4

· To contribute as part of the PCN team in providing administrative support to the CEF and MD Lead

· To provide a high quality, administrative service to a multi-disciplinary team.

· To work as part of a team.
