Job summary

Are you a highly organised and experienced personal assistant (PA) looking to join a leading London Integrated Care Board? Do you enjoy working in a fast-paced, supportive environment, working closely with directors and other senior colleagues?

If so, we want you to join North Central London ICB as a personal assistant, supporting three of our directors in the Strategy and Population Health Directorate. This is a high-profile role, where you will deliver professional and confidential support and play a vital role in ensuring that their diaries, mailboxes, and other commitments are expertly supported, with complete discretion and confidentiality.

You'll have the opportunity to work closely other senior leaders and colleagues across the ICB, in particular the Corporate Affairs Directorate. You'll use your excellent communication and organisational skills to support your directors, and will ensure that their time is effectively managed, and their commitments are prioritised.

Main duties of the job

We are looking for a highly experienced PA with the following skills and attributes:

o Significant proven experience as a personal assistant, supporting more than one director.o Manage and monitor complex, high volume and potentially sensitive email inboxes and other incoming correspondence, ensuring effective prioritisation and identification of key issues to bring to the attention of the director(s).o Forward plan, organise and administer meetings, ensuring high levels of professional support.o Excellent communication and interpersonal skills, with the ability to provide high-quality, professional, confident and suitably styled communications with internal and external stakeholders levels in contact with the director(s).o Strong organisational and multitasking skills, and a desire to work in a fast-paced, team environment, supporting colleagues with cross-cover when needed.o Ability to maintain complete confidentiality and prioritise effectively, with the skills to oversee a range of incoming and sometimes complex information.

  • Proficient in Microsoft Office applications and excellent understanding of computerised software, including Oracle.

Experience

  • Previous career experience in supporting a director-level position.
  • Previous experience of working with management level within a large and complex organisation.
  • Experience of managing complex diaries for directors.
  • Used to proactively working in a busy environment.

Knowledge

Essential

  • Proactive organisation and office management skills.
  • Excellent time management, prioritisation, attention to detail, ability to work on own initiative under pressure and to changing/conflicting demands.
  • Adaptable, flexible, and able to cope with uncertainty and change.
  • Excellent communication and interpersonal skills (verbal, listening and written).
