Job summary

Role will be offered as a secondment if coming from an NHS organisation / Fixed term contract if coming from outside the NHS.

The Mental Health and Babies, Children & Young People Team Administrator will play a vital role in ensuring the ICB can discharge its four key purposes:

  • improve outcomes in population health, reduce unwarranted variation with partners to include
  • Stewardship, prevention and population health improvement teams.
  • tackle inequalities in outcomes, experience and access
  • enhance productivity and value for money working in partnership with local authorities, provider services, Alliances, health, education and social care, voluntary and community sector organisations, and communities.

The post is responsible for providing timely and efficient administrative support to the commissioning team(s) including assisting with development of project plans, supporting the teams to co-ordinate work programmes and providing administrative support to key meetings. They will be required to manage their own workload effectively.

We are looking for a motivated individual who has the ability and expertise to work as part of a team but also work autonomously where required, to be organised and efficient at providing the most appropriate support when needed and have a passion for supporting the NHS to improve outcomes for people who live in Mid and South Essex.

Main duties of the job

  • Provision of effective and efficient administrative support for the team
  • Assist team members with the development of project and programme plans
  • Administrative support to key strategic meetings and supporting the chair
  • Taking accurate and timely minutes of meetings, keeping action and risk logs, putting agendas together and circulating papers to members
  • Assist with co-ordination of reports and papers for key work areas

ROLE PURPOSE / SUMMARY

The Mid and South Essex Integrated Care System will comprise the Integrated Care Board (ICB), which is the statutory body for the NHS, and the Integrated Care Partnership (ICP), which is a committee of the ICB, and brings together key health, care, community, and voluntary sector organisations across the area.

The ICS has a bold ambition to deliver improved outcomes for our 1.2m population through our four Alliances, and we are placing clinical and professional leadership and the voice of our residents at the heart of realising this ambition.

The MH BCYP Team Administrator will be integral to supporting the delivery of the core purpose of the Mental Health and Babies, Children and Young People Teams to improve outcomes by providing the statutory commissioning function for the ICB. The post holder will providing administrative support for a team who have clearly defined programmes of work; as well as being required to manage their own workload.

COMPETENCY BASED KEY DELIVERABLES

  • Responsible for decisions made during the course of duties, seeking guidance and escalating issues where appropriate
  • Assist with the delivery of project plans and workstreams, as directed by line manager and raising any issues with delivery to line manager
  • Provide administrative support to meetings, committees, and work groups across the Mental Health and Babies, Childrens, and Young People portfolios
  • Managing own workload whilst working across two teams and escalating any issues appropriately
  • Responsible for collating accurate and timely minutes to meetings, putting together action plans from these meetings, circulating papers to members and implementing a system of reminders and escalation to ensure actions are completed in a timely manner
  • Manage a programme of timely development of agendas and requesting supporting papers for a variety of meetings
  • Required to support less experienced team members and demonstrate how to perform tasks within the remit of their role
  • Responsible for the monitoring of one or more budgets
  • Provides effective, efficient, and comprehensive administrative support to the MentalHealth and Babies, Children and Young People Teams
  • Seeks best value for money within own area of work.
  • Assist in the support of the Mental Health and Babies, Children and Young People Teams in providing the statutory commissioning function for the ICB and ensure the delivery of transformational change of services
