This post sits within the Strategy & Corporate Services directorate, supporting the Business Manager to provide an effective and comprehensive business support function to the directorate with a particular focus on the strategy, partnerships and engagement function, which has a wide-ranging portfolio, and will require multi-disciplinary working across other teams, and our wider partners including other NHS organisations, Local Authorities, Voluntary Sector and residents.

Main duties of the job
You will provide a complete administrative function to the team. This includes being the first point of contact for any admin asks, often acting independently to create processes to best support the team. The role will also have a responsibility to support the administrative and governance functions of the wider directorate, alongside the Business Manager.
You will also be required to support director-level stakeholder(s) with diary management, expenses, and providing a Personal Assistant (PA) package.
The role will be ideal for somebody who is keen to progress within an administrative position, and take the next step in their career towards an Executive Assistant or Business Manager role.

ROLE PURPOSE / SUMMARY
The Mid and South Essex Integrated Care System comprises the Integrated Care Board (ICB), which is the statutory body for the NHS, and the Integrated Care Partnership (ICP), which is a committee of the ICB, and brings together key health, care, community and voluntary sector organisations across the area.
The ICS has a bold ambition to deliver improved outcomes for our 1.2m population through our four Alliances, and we are placing clinical and professional leadership and the voice of our residents at the heart of realizing this ambition.

- Responsible for decisions made during the course of duties, seeking guidance and escalating issues where appropriate
- Assist with the delivery of project plans and workstreams, as directed by line manager and raising any issues with delivery to line manager
- Responsible for collating accurate and timely minutes to meetings, putting together action plans from these meetings, circulating papers to members and implement a system of reminders and escalation to ensure actions are completed in a timely manner.
- Manage a programme of timely development of agendas and requesting supporting papers for a variety of meetings.
- Provides effective, efficient, and comprehensive administrative support to the strategy, partnerships and engagement function and the wider Strategy & Partnerships Directorate.
- Seek best value for money within own area of work.
- Provide administrative support to meetings, boards, work groups across the directorate.
- Maintain an ordered and secure electronic archiving system (and manual where required) in line with GDPR regulations.
- To assist with the coordination of highly complex reports for Committees and Board and collation of information for reports and returns.
- Producing initial drafts of reports based upon written or verbal instruction, and undertaking background research.
- Attend and participate in any delegated meetings on behalf of the Business Manager
- Be responsible for collecting data and measuring quality results.
