About the role
This is a great role to develop an understanding of all aspects of people services in a close-knit and friendly people and organisational development team.
As the first point of contact, the role provides first line advice, support and guidance to managers and employees about the application of people policies and processes and supports the team in all areas of HR, organisational development and training. We are a busy and face paced team with varying demands, meaning you will assist in many areas of general administration for all employee lifecycle activities, and you will support maintaining specific systems and processes (such as recruitment) and updating our online systems.
You will monitor a busy people team inbox while always providing excellent customer service. You'll update employee records in our HR system, using and updating our standard operating procedures for all areas you are responsible for. The team will rely on you to be competent in your IT skills, in order to support them fully.
Hybrid working
Many of our colleagues worked from home in response to the COVID-19 pandemic. We now adopt a hybrid approach to working, therefore there is flexibility to work from one of our offices.
Main duties of the job
About you
We are looking for a customer focused people team assistant with excellent communication skills, including the ability to provide and receive sensitive and contentious information whilst using tact and diplomacy. You will be well organised with high attention to detail, with the ability to prioritise effectively whilst dealing with a wide range of tasks and meet deadlines simultaneously. This role requires previous HR experience, and you will need to use your initiative to assess incoming queries and issues to decide the best way to proceed. Most importantly you will have great interpersonal skills and a friendly professionalism.

To be initial point of contact for all queries and providing resolutions where possible and appropriate, and sign-posting them to the relevant resources available.
To resolve queries regarding HR policy and processes. Judgement of the facts involves and requires some analysis and interpretation of the policy/process/terms & conditions.
Responsible for maintaining live organisational charts, aligned to the master establishment control position, publishing these for wider CCG use at regular intervals.
As TRAC (recruitment system) super-user, to act as the HR teams key point of contact for recruitment activity both internally with recruiting managers and externally with the CCGs recruitment provider and providing one to one training on an ad hoc basis as required.
Ensure the smooth running of the HR office in respect of actioning correspondence, updating calendars, arranging, attending and providing support at meetings, and providing other administrative support to the team.
To assist with the collation and production of regular or ad hoc reports
Responsible for running the job matching process, arranging Job Evaluation/Consistency Checking Panels, and training events, including liaising with other departments and external agencies as required.
Responsible for collating and maintaining the ICBs job description library ensuring it is constantly monitored, indexed and updated in line with the matching process whilst maintaining version control.
Ensuring timely processing of all HR policies through the relevant committees and forums implementing policy changes and propose changes to practices and procedures in HR.
To maintain and develop strong working relationships with internal and external customers, ensuring excellent levels of customer service at all times.
Create, maintain and administer HR databases and spread-sheets and IRIS.
To actively seek feedback and identify opportunities to improve the administrative processes and systems of department as well the HR service provided to the organisation.
