Job summary

Actively provide a high quality, comprehensive and effective administrative support to the Commercial team.

Act as first point of contact, providing an interface with ICB staff including commissioners and effective liaison with finance colleagues, alongside other external agencies/ stakeholders.

Work with procurement colleagues regarding issues and queries between the ICB and potential providers of health care, ensuring providers are kept informed of any procurement process or changes to existing procurement processes.

Aid in the development and implementation of procurement process management.

Main duties of the job

Administration and office management

Act as the first point of contact for enquiries, supporting the team by answering queries

Act as a knowledgeable resource for internal and external colleagues regarding commercial queries, and liaise with immediate team members to resolve matters

Produce documentation through applying knowledge and skills in the use of Microsoft Office, maintaining high standards of document production

Undertake typing of correspondence, internal forms, reports and other documents in accordance to the agreed corporate style

Undertake production and completion of spreadsheets and contract templates for own use and wider utilisation by the team

Prepare and distribute documents and meeting paperwork in a timely manner, mainly electronically

Creation and management of documents and notices generated through e-Contract IT portal

Service meetings through the production of agendas, taking minutes as and when required, coordinating the collation and distribution of papers, ensuring relevant paperwork is distributed in good time prior to the meeting

Plan and manage own workload to weekly, monthly and annual timescales, to ensure prioritisation and continuity of service provision

Undertake administrative duties including generic email box management, updating excel activity trackers, bulk mail-out distributions by email.
