Job summary
The Performance and Planning team sits within the Deputy Chief Executive portfolio includes three key areas: performance management, planning and programme management.
In line with NOF4 and our operational plan, it is vital that we effectively performance manage the system to ensure that we and our providers are held to account and deliver the agreed priorities. To help us do this, we have programme management office (PMO) which act as the engine room of the organisation, ensuring that all programmes are coordinated and deliver against their plans.
The role and function of the performance and planning team is to ensure that NHS Devon, providers and the system have plans in place to meet key requirements such as operating plans, winter plans, joint forward plans and national oversight framework. The team oversee the planning framework for the system ensuring all submissions meet the key requirements as set out in national or local guidance and that there are concise delivery plans in place to deliver on these requirements. The team will provide programme management office (PMO) support to teams to ensure that all delivery and improvement programmes are set up using the correct programme architecture. The performance element of the team will support the new oversight governance structure for the system, which will include oversight meetings with each provider/localities, oversight of provider collaboratives and internal oversight of delivery of all annual plan requirements
Main duties of the job
The main duties of the role include:o Managing the electronic diary for the department, including arranging and changing appointments, prioritising these as appropriate.o Undertaking administrative duties as required including but not limited to managing email inboxes and ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.o Organising and planning events as necessary supporting information material.o Inputting, monitoring and checking data, required for finite and ongoing projects within the teamso Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomouslyo Running and collating reports which may include reports to the Board and senior management as required.o Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the teamo Preparing agendas, taking minutes and distributing notes of meetings including typing up of group discussions and interviews as necessaryo Providing guidance and advice on relevant policies and procedureso Participate in Research and Development activities as directed.
