Job summary

Join the Derby City Podiatry Team and:

  • provide admin support to Podiatry Leads inputting to ESR.
  • be part of the Podiatry Team and Wider Trust, contribute to the development and adhere to the Podiatry Department and Trust policies, strategies, and objectives.

Main duties of the job

Rota Assistant Role

Day-to-day management and the production of accurate and timely rotas.

The post holder will play a key role in assisting an efficient and effective rota service.

You will work autonomously, with the freedom to act to prioritise daily workload to ensure an efficient patient focused service is provided across DCHS wide podiatry service without direct supervision.

The post holder will work with the Team Leads to plan and assist the delivery of the Podiatry Service across multiple clinic sites, including clinical rotations to cover service level agreements and cover for planned, short notice leave as well as on the day sickness cover. This requires complex problem-solving ability to ensure that clinical activity is maintained. The post holder is required to communicate at short notice with Podiatrists to ensure that clinics are covered by staff to minimise patient cancellations.

To work with the Management Teams to ensure waiting time targets are met and maintained via appropriate staff rota cover.

To work with Allocate Software team to develop and roll out an electronic roster system (E roster) to maximise productivity of the podiatry team and reduce administrative time spent planning rosters.

This post impacts on the ability for the Podiatry Service to deliver interventions and treatments to patients in a safe, timely manner by ensuring appropriate staff are rostered to clinical shifts.

Ensure that satellite and main clinical sites have an appropriate number of appointments available on a weekly/monthly basis to meet service demand.

To have an excellent knowledge of waiting times for routine appointments and move capacity in agreement with team lead to keep waiting times equitable across the locality.To make autonomous decisions on the rotation of Community Podiatry Team in a fair and equitable manner to meet requirements of Service Level Agreements.

To deal with the initial impact of any staff absence, liaise with Podiatrist/Team Lead, arrange cover, liaise with patients to cancel appointments, delegate remainder of task to appropriate member of the clinic admin team.

Understanding of the requirement to always maintain absolute patient confidentiality in accordance with Trust policy and the legal framework such as General Data Protection Regulations. Contact with patients when changing or amending patient appointments on the day cancellations of early appointments in the event of short notice absence.
