Job summary

An exciting opportunity has arisen for an Information Assistant to join the busy Informatics Team.

You will initially be based remotely (your identified working base will be the Norwich Community Hospital in Norwich and you will be required to attend there at least 2 days a week).

Main duties of the job

As a member of a dynamic and forward-thinking Information department, you will assist with the management of the Information Teams inbox and dealing with customer enquiries. Make sure the day to day reporting of all Business as Usual reports is completed in a timely manner. To assist the Information Team with any ad hoc queries.

We are looking for a flexible, energetic, dynamic and friendly individual who will be able to work on their own initiative to meet challenging targets and who must be prepared to continually update their skills as new systems and functionality become available.

You will have previous experience within an office environment, and a proven track record to continuous personal development is essential.

You will have current knowledge of Microsoft Software, especially Excel, and will have a good understanding of office based dynamics.

Job description

Job responsibilities

To assist the Information Support Officer to manage the Information Teams generic inbox to ensure external and internal requests for information are prioritised appropriately and manage timeline expectations for both external and internal customers. To work through the technical detail of more complex requests with the requestor to ensure efficiency of the service provided and avoid unnecessary effort. To provide a regular weekly update to all requestors. To develop status updates on the Trusts Intranet.

To monitor the Information Teams schedule of reports enabling timely production of Business as Usual reporting. To attend the daily triage meetings and keep abreast of the task planner making sure no deadlines are missed.

To assist in the production and maintenance of the Trusts IPR reports including updating the place reports for ADs and services.

To assist in the provision of KPI and Waiting Time reports to operational services for validation within the agreed weekly timetable, escalating non-compliance within the Service Improvement Team as appropriate.

To assist in the production of all contractual/national submissions on a Daily/Weekly/Monthly basis.

To keep abreast of the content of the Information Teams Project Log which is used to track progress of KPI development, national dataset requirements and Change Team and tender projects requiring input from the Information Team.

To develop knowledge in using SystmOne to be able to support users contacting the Information Team, exhibiting exemplary personal attributes within the Trust Behavioural Framework and always being customer and solution focussed escalating problems and issues appropriately for resolution as required.

To provide admin support including provision of agendas, minutes and action logs for the Information Team meetings. To attend other ad hoc development meetings for the Information Team to record notes and actions.

To assist in the granting of access permissions to the network folders , maintain a log and audit to make sure leavers/starters are updated in accordance with good governance rules.

To provide support to the Information Team for admin tasks associated with annual leave management, recruitment, sickness reporting, meeting and room bookings, etc.
