Job summary
To
be the central point of contact for podiatry staff and patients, ensuring the
effective communication and efficient running of the administrative side of the
Podiatry department.
To effectively manage,
and supervise the podiatry administration team, to ensure a timely service that
meets departmental targets.
Main duties of the job
To ensure daily podiatry
timetables and duties are managed, analysed, and monitored, ensuring the
smooth and most efficient use of podiatry time. To produce monthly audits of waiting, cancellations,
and failed appointments, informing the Operational Manager of any trends.
To update the
computerised booking system by appropriate data input, and subsequent
manipulation thereof. To prioritise,
monitor, and audit referrals to the service.
To monitor and maintain
stationery and instrument stock levels, ensuring all clinics have adequate
supplies.
To maintain and monitor
the computerised waiting lists (length of time from referral and/or
assessment) informing the Team Leaders/Manager of any issues.
Monitor the electronic
central booking service, ensuring appropriate clinics are created, and
dealing with enquires from the public and podiatry staff.
Ensure effective
administrative systems and processes are established and maintained
consistently including central filing systems.
Develop new procedures
which enhance the smooth administration of the Podiatry department.

Duties and Responsibilities:

To arrange meetings and speakers, prepare agendas and produce equipment for podiatry staff meetings.
Ensure timely distribution of relevant documentation to all areas of the Podiatry department.
To provide general secretarial support to staff in relation to special projects as appropriate.
To collate statistics for the service and participate in the collection of data from regular audits ensuring typing of reports.
To support and train new clerical staff upon joining the Podiatry department.
Line manage administrative staff, undertake annual performance/appraisal and instigate staff development. Manage annual leave, travel expenses, sickness absence; collate staff variation sheets and mileage forms from the podiatry department ensuring timely onward transmission to E-roster.
To carry out confidential personnel work on behalf of the Team Leaders/Manager
To provide a point of contact for Diabetic Annual Review enquires and general enquires from other agencies, clinicians, the public and employees of the Trust.
To undertake any other duties that may from time to time be delegated which are appropriate to the grade of the post and reasonably within the remit of the post holders job description.
