Job summary

Bridgewater Community Healthcare NHSFT is seeking a receptionist/admin support post to provide front of house function based at Europa Point located in Westbrook, Warrington. The postholder(s) will provide this function for the whole building and will be the central focal point for all visitors to the building and all correspondence/mail/call.

As the first point of contact for the organisation, this is an important post and candidates will need to be motivated, flexible in their approach and able to demonstrate organisational values in their way of working.

Main duties of the job

To provide reception & administrative support to Europa Point services;

To provide a customer focused service to the users of the building;

Maintain internal database in respect of the building user fob control system

Answer and deal with as appropriate incoming calls/emails/enquiries to the Trust organisational landline and email contact points.

Maintain appropriate stock levels of office consumables and office stationary.

Act as fire warden and maintain signing in and attendance recording templates.

Maintain Boardroom and meeting room calenders.

Act as a point of contact for reporting building facilities management operational issues and for onward reporting to the Trusts facilities management contractors.

Job responsibilities

To act as first point of contact for all client enquiries, responding to telephone and face to face enquiries in an efficient, tactful and professional manner, redirecting calls, taking action as appropriate. Liaising with internal services and partner agencies when necessary as directed.

To manage generic email addresses and action/re-direct email correspondence as appropriate.

To carry out general reception duties where required maintaining a neat and tidy reception environment;

The maintenance of the fob access system to include fob distribution and audit record keeping;

Maintain signing in attendance sheets and where appropriate maintain car parking registration details of all staff.

To display and ensure availability of information sources at reception with an adequate and attractive display of front desk poster and leaflet materials;

To deal with all internal/external mail and redistribution to relevant department;

To accept deliveries and ensure these are dealt with promptly;

To maintain an effective photocopying, scanning, filing and archiving system including records management in line with Trust policy;

To provide relief cover at other locations as required by Management

To report any faults, defects or building defects to the CAFM Helpdesk;

To maintain appropriate levels of stationery stock; to place requisitions onto the Purchase Ordering system;

To book meeting rooms within the premises and keep room availability updated as appropriate;

To update and maintain corporate diaries as requested;

To undertake delegated duties commensurate with the banding;

To attend local team meetings as and when directed by Line Manager;

Information Governance

Employees of the Trust must comply with the provisions of the Data Protection Act 1998. The postholder must not; either during the course of their employment, or following termination of their employment, disclose any information relating to service users or employees, or of the lawful business practices, of the organisation.

The postholder will be required, when and where appropriate to the role, to comply with the processing of requests under the Freedom of Information Act 2000

The postholder must comply with Trust policies that protect the information assets of the organisation from unauthorised disclosure, modification, destruction, inappropriate access or use and must pay due regard to the requirements of the NHS Confidentiality Code of Practice.

The postholder will be responsible for maintaining the clinical and or corporate records that fall within the remit of this role to the standards in Trust records management polices, and data quality processes and standards.

Health & Safety

Compliance with the Health & Safety at Work Act 1974 the postholder is required to fulfil a proactive role towards the management of risk in all of their actions. This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards, and a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions.

The Mental Capacity Act 2005 applies to all Trust staff. It is the responsibility of every person to ensure that they keep up to date with the Act and that the delivery of patient care/services is conducted in line with local and national policy and the MCA Code of Practice.

  • 4 GCSEs at grade C or above to include Maths and English or Key Skills equivalent qualification/ or a standard level of education RSA Level II in typing / equivalent qualification or experience ECDL or equivalent./IT knowledge

  • Audio typing qualification. NVQ 2 in Business Administration or Customer Care
