The successful candidate will provide confidential administrative support to the Deputy Chief Nurse and Director of Quality Governance, to ensure an efficient, effective, and seamless service. Dealing with enquiries, often using own initiative, to ensure a timely response to all communications. To act as first point of contact for the Deputy Chief Nurse and the Director of Quality Governance for both internal and external agencies, ensuring discretion and using own judgement on priority of any information received. To have an understanding and appreciation of confidentiality when dealing with sensitive patient or staff related information.

Main duties of the job

An exciting opportunity exists to join the Senior Corporate Nursing Team. The post will allow the successful candidate to join the small, busy team, learn the key areas of work and to contribute to the Trusts work to keep patients safe.

The Team is based at the Trust Headquarters, although there will be a need to work flexibly from other locations, depending on the needs of the service.

The main duties of this role is to provide an efficient and effective confidential administrative support to the Deputy Chief Nurse and Director of Quality Governance and timely management of appointment diaries to assist the Deputy Chief Nurse and Director of Quality Governance in meeting their work schedule.

Job description

Job responsibilities

· To provide confidential administrative support to the Deputy Chief    Nurse and Director of Quality Governance to ensure an efficient,     effective and seamless service.

· Dealing with enquiries, often using own initiative, to ensure a     timely response to all communications.

· To act as first point of contact for the Deputy Chief Nurse and the Director of Quality Governance for both internal and external agencies, ensuring discretion and using own judgement on priority of any information received. To have an understanding and appreciation of confidentiality when dealing with sensitive patient or staff related information.

· To take responsibility for the efficient organisation of meetings on behalf of the Deputy Chief Nurse and the Director of Quality Governance including venues, meeting rooms, hospitality and equipment as required. Providing support, including the preparation and distribution of associated papers.

· To assist in organising the booking of external conferences, seminars and events

· To take and transcribe notes and actions of meetings.

· To copy/audio type reports which may contain clinical terminology and general correspondence as indicated.

· To plan, organise and maintain in a timely manner, electronic diaries of the Deputy Chief Nurse and the Director of Quality Governance.

· To order any stationery or general office supplies that may be required by the Deputy Chief Nurse or the Director of Quality Governance.

· To answer, make and receive phone calls on behalf of the Deputy Chief Nurse or the Director of Quality Governance.

· To maintain a filing and archiving system including records management in line with Trust Policy.

· To accept deliveries and ensure these are dealt with promptly

· To undertake other duties as may be determined from time to time commensurate with the role and general responsibilities of this post.

· Using relevant IT software, provide efficient word processing, data storage and presentation services, including effective electronic storage and retrieval of documents and information for audit purposes.

· To ensure that appropriate levels of identified stock are requisitioned on the Purchase Ordering system

· To undertake any other routine administrative duties required. e.g. photocopying, use of fax, collation of documents, etc.

· To organise and prioritise own workload and meet deadlines.

· Keep working practices under constant review to improve efficiency and effectiveness

· Follow departmental procedures for opening and closing the department each day maintaining security of all records and property.

· Ensure department is kept tidy and organised striving to ensure that all visitors to the department receive a positive first impression.

· To report any faults, maintenance works or building defects to the helpdesk.

Be involved in new developments to redesign and modernise office practices and systems

  • 4 GCSEs at grade C or above to include Maths and English or Key Skills equivalents or equivalent

  • NVQ 3 in Business Administration or Customer Care

Experience

  • Ability prioritise and deliver work to challenging deadlines
