Job summary

Reception Co-ordinator - Band 3

We are looking for an enthusiastic, flexible and dynamic Receptionist to join our Inner Northwest Divisions.

The ideal candidate will be a highly motivated individual, who is passionate about ensuring our patients are dealt with in a compassionate and efficient way.

Main duties of the job

Welcoming patients, carers, staff and visitors signposting them to the relevant departments. Booking in appointments on arrival appropriately & according to their urgency

  • Ensuring that patients are treated with dignity and respect and that personal information is conveyed with tact and diplomacy contributing to the improvement of the 'patient experience'

The role includes a range of weekday and weekend shifts, including holidays. The shift pattern is 08:00-20:30.

Job responsibilities

  • Responsible for preparation of the day to day running of the reception
  • To Provide a professional welcome to patients, carers, staff and visitors and signpost them to the relevant departments
  • To ensure that patients are treated with dignity and respect and that personal information is conveyed with tact and diplomacy
  • To ensure that on arrival patients details are checked and updated ensuring ethnic monitoring information is recorded
  • Ensure that patient appointments are booked appropriately according to their urgency and within clinic/specialty rules and standards
  • To contribute to initiatives for communicating with patients who may not easily understand because of cultural or language differences, physical or mental special needs, or due to age
  • To manage the opening and distribution of incoming post
  • To ensure franking/purchasing of postage stamps for outgoing mail are completely daily
  • To deal with deliveries of supplies on arrival
  • To liaise with Estates regarding repairs if required.
  • To liaise with IT department as required
  • To ensure that security is maintained and that all maintenance issues are addressed promptly
  • Any other admin duties that may be required in order to facilitate the efficient running of the reception
