Job summary

This is an exciting time to work within Estates and Facilities at Birmingham Community Healthcare NHS Foundation Trust.The post-holder will support the Facilities Manager with the day to day management and running of the portering, switchboard and reception teams in order to deliver high quality to the host Trust and partner organisations as required.

The post holder will oversee any day-to-day operational issues experienced across all BCHC sites and being the point of contact for the, switchboard, reception team and porters. The post holder will take the lead on managing the rotas and coordinating workstreams across a variety of Trust sites. This is a busy and varied role for someone who is keen to implement change and achieve positive outcomes centred around first class patient care.

The post holder is the lead on standardising best practice, processes and procedures as well as seeing to the day-to-day operational management of switchboard, reception at Moseley Hall Hospital and Portering on four sites.

The post holder will be required to contribute to the business plans and strategic direction including linking in with Emergency Planning leads, Estates and Facilities managers and clinical services, to provide a resilient 24-hour robust service.

Delegated budgetary responsibility for circa £600k and supporting the planning and delivering of the annual Cost Improvement Programme (CIP).

Detailed job description and main responsibilities

Responsible for the safe and effective management of Facilities services and advising the Facilities Manager on matters specific to the service.

Responsible for the management of Housekeeping /Domestic staff at both inpatient and outpatient facilities services across Birmingham Community Healthcare NHS Foundation Trust and to provide a seamless service from both a quality and financial perspective ensuring that all resources are managed & monitored effectively within agreed parameters and provide value for money.

Responsible for managing the Team Leaders and Supervisors. Responsible for the day-to-day management of staff, including recruitment, personnel record keeping, induction, training and development to ensure that they can perform their duties effectively and safely.

Manage staff attendance, grievance, conduct and performance issues in accordance with BCHC policies and procedures, Requesting support as required from Facilities Manager.

To engage, liaise and collaborate with other Trust departments and services, using customer and other relevant feedback, subsequently planning and making changes as appropriate.

To lead on recruitment and selection processes and produce robust induction and training plans for teams.

Implement and update departmental operating procedures.

To be responsible for undertaking fact finds and investigations.

To lead and update the Premises Assurance Model (PAM) information for services.

Conduct and chair meetings with internal and external departments and customers/suppliers.

To lead and provide information for the Estates Return Information Collection (ERIC) and Freedom of Information.

To complete staff appraisals and hold regular supervision meetings to set team objectives and actively encourage staff to maximise their personal skills and development and the potential to contribute to service improvement. Ensure the staff receive the Team brief.

Using Trust systems process all new starters, leavers, terminations, and changes in staff circumstances.

Exercising a range of communication skills to ensure all staff are notified of any new or updated procedures in a timely manner.

Provide training sessions for all staff with documented record of shared learning. This will include documented refreshers for all staff on all emergency procedures.

To be responsible for the management of department sickness management in line with the Trust policies and procedures in conjunction with Human Resources and keep updated records in personal files.

To lead with departmental organisational change processes in conjunction with Human Resources and the Waste Manger.

To manage and implement effective staff rotas, arrange for annual leave cover and contingency workforce where appropriate to cover sickness and other absences. All time out cover is to be planned and displayed monthly.

To provide out of hours support by telephone or by attending site for urgent and emergency situations such as serious malfunctions or failure of telephone systems and /or bleep system, major incidents etc and severe staff shortages.
