Job summary
You will be working in a busy care co-ordination centre, providing line management support to a large team of administrators.
The Planned Care administration team provides a range of administration functions to the Specialist Community Services within HCT, including adding referrals, answering large volumes of calls, booking appointments and completing reports.
You will ensure the team provides a high-quality service to patients, relatives, carers and other professionals, maintaining confidentiality and following the correct processes.
Whilst receiving guidance and support you will mostly be working unsupervised and using your own initiative to complete day to day activity. You should have excellent communication skills in order to liaise with your service lead, administrators and specialist service leads, who work within the office, at home or across HCT venues.
You should already have a good level of supervisory skills as this is a challenging and ever-evolving environment, so being adaptable and offering flexibility in your approach will be key.
Main duties of the job
To provide a comprehensive, professional and confidential administrative service using organisational ability in terms of administrative systems and demonstrating a high level of initiative and motivation.
To work in a managed rather than supervised environment, responsible for managing and prioritising own workload.
To organise and coordinate meetings for members of the team including liaison with other departments alongside other members of the Administration team.
To liaise closely with the Service Lead and take appropriate action in their absence for example, giving procedural and non-clinical advice to members of the public and referring matters on.
To provide effective communication when dealing with the team and outside agencies.
To participate and contribute to the maintenance, evaluation and continuing development of the Service, including the use of digital innovations.
To provide line management support, including ensuring mandatory training is up to date, conducting 1-1s and sickness reviews.
