Here at SHSC we are offering an exciting opportunity to join our Care Standards team. The Care Standards team sits within the Nursing and Quality directorate and has close working relationships with a wide range of teams across the Trust, both corporate and clinical. We are looking to recruit a highly motivated and professional individual to take up the position of Care Standards Officer as the current post holder moves on in their career journey. The Care Standards Officer plays a crucial role in promoting continuous improvement and maintaining high-quality care standards across SHSC services.

Main duties of the job

The primary purpose of the Care Standards Officer is to manage and coordinate the logistical, administrative, and documentation aspects of quality assurance visits. This includes scheduling and organising assessment and assurance visits, preparing necessary documentation, facilitating communication between visiting assessment teams and the services they are visiting, and maintaining accurate records of reports and follow-up actions.

Additionally, the role involves handling the intake and initial triage of CQC enquiries and coordination of the agreed response. The Care Standards Officer plays a crucial role in promoting continuous improvement and maintaining high-quality care standards across SHSC services..

Planning and Coordination of Quality Assurance Visits

  • Scheduling: Manage the calendar for the range of quality assurance visits conducted within SHSC, ensuring regular and timely review of care facilities. Visits may be planned or unannounced depending on the nature of the visit.
  • Documentation Preparation: Prepare and organise necessary documentation and checklists for visiting teams.
  • Logistics Coordination: Coordinate travel arrangements, visit itineraries, and other logistical details for the assessment team.
  • Schedule and coordinate follow-up visits to support insights regarding quality and safety improvements.
  • Implement a reminder system for pending follow-ups and actions.
  • Track the status of follow-up actions that require escalation through routes above team governance level.

Support for Quality Assurance Visits

  • Administrative Assistance: Provide administrative support to assessment teams before, during, and after visits.
  • Resource Allocation: Ensure that assessment teams have all necessary resources, including access to digital tools, forms, data and reference materials.
  • Communication: Liaise between assessment teams and services being visited to facilitate smooth and effective visits.

Reporting and Documentation

  • Report Compilation: Assist in compiling and formatting reports based on findings from quality assurance visits. Support the Care Standards Lead and Head of Clinical Quality with Group and Committee reporting by providing relevant data to aid analysis and thematic review.
  • Record Keeping: Maintain accurate and organised records of all visits, reports, follow-up actions and care standards enquiries received through the various routes of reporting.
  • Data Entry: Enter data from assessment reports into relevant databases and systems.

CQC Enquiries (and quality concerns raised through other routes)

Manage the intake of care standards concerns from various sources and undertake initial triage to identify stakeholders to be involved.

Coordinate and collate responses provided and submit for senior approval as required.

Document all care standards concerns in a systematic manner on the relevant trackers.

Data Management and Analysis

Collect and organise data related to care standards activities and outcomes.

Maintain and update databases with relevant care standards information.

Keep records of changes in CQC rating for SHSC commissioned/sub contracted services

Process Improvement

Maintain and update process maps for key care standards activity.

Collect feedback from assessment teams and services to identify areas for improvement in quality assurance processes responsible for.

Support with the dissemination of information related to care standards activities, outcomes and programmes of work.
