Job summary

Sheffield Talking Therapies is looking for a part time (18.75 hours) Receptionist for one of their bases at Netherthorpe House.

The appointed candidate will be the initial point of contact for staff, service users and visitors to Netherthorpe House. The role will include the organisation and management of the main reception, receiving and welcoming patients, relatives & carers to the building.

Job responsibilities

To undertake telephone and reception duties as appropriate, includingdealing with the general public over the telephone or face to face. The post holder will be responsible for taking comprehensive and effective messages along with fielding and diverting calls. To clearly communicate orally with members of the public where theremay be barriers to understanding. Be responsible for managing and booking rooms for appointments on behalf of Talking Therapies Staff. To maintain all information on noticeboards relating to the service and updating accordingly. To maintain accurate levels of stationery supplies using the electronic ordering system for stock items. To provide assistance to the Admin Coordinators when requested. To undertake typing and producing documents as appropriate, using PC based word processing, spreadsheets, and database packages To undertake general office administration tasks, including filing, distributing post, photocopying, and processing stationery orders Takes delivery and sign for packages and post. To always maintain client confidentiality whilst carrying out duties. To ensure confidentiality of information in respect of records maintained and tasks undertaken. The post holder will be expected to support and adhere to general building protocols in relation to health, safety and security including weeklytesting of the fire alarm. To attend, participate and contribute to relevant training courses as required to enable contribution to quality services and professional development.

Essential

  • Educated to GCSE level or equivalent in three subjects including English and Mathematics Grade A-C or equivalent experience to demonstrate good numeracy or literacy skills

Desirable

  • NVQ II Business Administration/Customer Service or equivalent experience
  • IT Qualification (ECDL, CLAIT)

Knowledge & Skills

Essential

  • Understanding of customer care/ability to work with sensitive and confidential information
  • Knowledge and understanding of Confidentiality and Data Protection Act
  • Good standard of verbal and written skills
  • Organisation skills and flexible approach to work
  • Ability to prioritise workload and work under pressure to ensure deadlines are achieved

  • Knowledge of Patient Management System.

  • Experience of using MS office, particularly Outlook and Word
  • Experience of working with the general public
