This Change Agent role vacancy is a fantastic opportunity for those working in clinical/clerical roles to help shape the future of how SHSC record clinical information and deliver the care to their service users.

The Trust has chosen the Rio Electronic Patient Record (EPR) to support its workforce in the provision of care to the communities of Sheffield.

The Trust Board of Directors has approved the establishment of Change Agents in providing support to the Rio EPR program development and deployment of the new electronic patient record solution across the Trust

As a Rio EPR Change Agent they will engage with Service Providers across all of the Trust facilities, to develop the future ways of working and to support the smooth transition from current practices to the new Rio EPR.

This role will be part of a core group of Change Agents who are local Trust experts in their area, supported by the Senior Change Manager and have a team of Super Users to call upon for support and assistance.

Main duties of the job

The Change Agents Will:

Become the main drive to ensure that that the Clinical Transformation and IT teams fully understand the local requirements of their areas of expertise.

Work alongside the EPR Change Management Team, the IT department and Rio consultants.

Work with the EPR Board members to inform the respective Super Users of issues related to process and/or functionality.

Job responsibilities

Main Duties:

  • To provide technical/queries support in relation to Rio for the Super Users
  • To monitor and report issues identified by Super Users and raise issues affecting the business or patient journey to the EPR Program Management Team.
  • Contribute to the identification and analysis of stakeholders and support the development of the stakeholder plan, participating in its ongoing review and updating as required.
  • Work collaboratively with the stakeholders and the project team to assess the readiness of the organisation to implement change
  • Understand the organisational strategic and clinical drivers for implementing the change
  • Support the identification and prioritisation of desired programme benefits
  • Identify cultural, organisational and business constraints affecting proposed changes and support the development of strategies to overcome resistance to change with the EPR Transformation Lead
  • Capture current state and develop future state process flows, for administrative, operational or clinical processes with the stakeholders, identifying areas for improvement through technology or process change
  • To identify training needs and to track key staff as Super Users
  • Identify appropriate / additional training requirements for staff and liaise with the IM&T training team to develop appropriate methods of training to support the change.

  • To support the Change Management Team with the introduction of changes.
  • To guide and support the Super Users in the review of the Current and Future State Processes in a timely manner in accordance with project timelines
  • Identify and highlight gaps in functionality based on agreed future practice to EPR Program Board
  • Identify areas of clinical risk and escalate to EPR Program Board
  • Support the clear and timely communication of key project messages to super users and end users
  • To highlight and report key resistors or concerns raised by the workforce to the Change Management Team
  • To ensure the workforce members have an appropriate opportunity to make changes/amendments and feedback affecting them.
  • Take responsibility in identifying changes in practice affecting current policies and procedures and make amendments to existing policies
  • To highlight and document changes in policy and identify amendments existing policies
  • To work collaboratively with the workforce to support with all required change activities within areas of responsibility
  • Partake in Super User activities and share learnings across the group
  • Develop a tracker to identify additional training requirements for colleagues
  • Review and implement training materials for suitability of practice
  • To take ownership of the sign off of Super Users actions
  • To construct a tracker to identify additional key workforce members who can support others at go live
  • Attend and represent Super Users steering meeting
