Job summary

To achieve the Level 4 Apprenticeship Standard: Facilities Manager

We will support your training and development to become a subject matter expert in Facilities Management. On a day-to-day basis you will develop your knowledge to:

  • Support the Compliance & Systems Manager with the management, development, promotion, and application of CAFM systems underpinning and supporting the activities of Estates & Facilities (E&F) teams; principally with regard to the E&F task allocation software (Concept Evolution) and other systems including property software (MiCAD IPR), risk assessment software (BORIS) and internal systems including Intranet (SharePoint).
  • Administrate/develop systems that audit, monitor, measure, and report compliance within Estates & Facilities (E&F) using evidence-based techniques.
  • Work with an ethos of continuous improvement, optimising system effectiveness and supporting, developing, and training those using the systems.

Main duties of the job

  1. To support the Estates and Facilities (E&F) Compliance and Systems Manager on ensuring demonstrable, evidence-based compliance is available to allow the Directorate to provide and report assurance that all statutory and other relevant approved codes of practice including Health Technical Memoranda (HTMs) and Premises Assurance Model (PAM) are being met within the E&F performance management framework.
  2. To lead on obtaining/collating compliance assurance evidence from various sources (contractors, in-house team members etc.) and ensuring that this evidence is stored within the appropriate CAFM System.
  3. To regularly audit and measure performance to ensure demonstrable, evidence-based compliance with statutory and NHS compliance requirements across E&F.
  4. To exchange compliance information with specialists & non-specialists ensuring that complex information is presented in a manner required to meet the target audience's knowledge base.
  5. To use CAFM System: Concept Evolution at an intermediate level to undertake day to day operations/system administration duties (assigning licenses/user permissions, creating new users/setting up contractors, creating new locations etc.) and provide continuous improvement of the system.
  6. To regularly undertake asset capture / space utilisation surveys (with the assistance of the E&F Compliance and Systems Manager) for all inpatient and community sites where the findings of each survey are to be inputted/stored onto the relevant CAFM system.
