Job summary

An exciting opportunity has arisen for an experienced and highly motivated person to work within the integrated district nursing team in Luton Adult Community Health Services as an Administrator.

The post holder will support the integrated district nursing team with the timely, efficient and effective delivery of the caseload management working specifically using our dedicated IT system, Malinko (auto scheduling). Malinko intelligently e-schedules caseloads, matching clinical skills with patient needs, so you can focus on what's important: safely providing clinical services to the community.

This role will also include supporting the service with a range of administrative initiatives and functions. This is not a clinical post, but requires sensitivity and confidentiality at all times as they will be supporting the planned and unplanned referrals for the Service.

The post holder will require excellent planning and organizational skills. Excellent communication and stakeholder engagement skills are also a must.

Main duties of the job

The post holder will support District Nursing caseload demand, working specifically using dedicated IT system, Malinko. This role will also include supporting the service with a range of administrative initiatives and functions. This is not a clinical post, but requires sensitivity and confidentiality at all times as they will be supporting the planned and unplanned referrals for the Service.

The post holder will be a key member of the District Nursing team and needs to be experienced and confident working alongside clinicians.

The post holder will be required to provide high quality administrative support. They will need to work on their own initiative and manage their own workload.

Job responsibilities

Communicate promptly and effectively with service users and staff, utilising telephone, email, letters, face to face contact and SystmOne.

Support Clinicians with the administration and allocation of planned and unplanned referrals to the Service using Malinko Software.

Work within a network of Trust services using malinko to share learning and good practice to maximise system benefits.

Supporting the integrated Nursing teams with the e-Roster / e-scheduling systems such as resetting passwords, loading new starter information, uploading and downloading reports.

To assist with managing change within the organisation, being a champion of the software and encouraging others to adapt to a new way of working to assist with all training and ensure that clinical staff appropriately use the system thereby helping the Trust to meet its financial targets.

Provide high quality, accurate, timely administration support to all Adult teams, plan education sessions, sourcing venues, allocating staff.

Liaise with a range of agencies to collate information for the Integrated Community Nursing Service to enable effective dissemination of information.

Using Integra and NHS Supply Chain to order resources and raise purchase orders as necessary.

Provides administration support to the Integrated Community Nursing Service and ensure appropriate action is taken with incoming communications.

Maintain and develop accurate electronic records.

Deal with telephone calls and messages in a timely and professional manner.

Participate in monthly team meetings, taking accurate and concise minutes, and contributing to service development.

Prioritise work load and resolve conflicting appointments using own judgement to prioritise as per pathways.

Support managing of electronic diaries for Nursing Teams.

Support plan and co-ordinate work load as needed.

Support Teams in ensuring required deadlines are met.

Develop and maintain accurate inputting to databases using advance keyboard skills.

Be able to type with accuracy and speed.

Filing, receiving and dismantling purchase orders.

Travel to other venues when required.

Provides general, non-medical advice to service users.

To provide accurate records and systems accessible to fellow team members.

Develop and maintain accurate inputting to SystmOne.

Maintain the storage and retrieval of information from manual and computerised database systems.
