Job summary

The Contract Administrator is a new role, created to support the increased responsibilities of the Contracts team, at an exciting time where the changing NHS landscape offers many opportunities for growth and development. This role will provide a range of administrative support within the Contracts team to support in delivering a high-quality service in the contracting and performance management of both clinical and non-clinical contracts.

The Contracts team is a dynamic and evolving team that provides expert support to the Trust in the management of its clinical and non-clinical contracts. We champion continued professional development and encourage all team members to engage in ongoing training and development.

Main duties of the job

A critical part of this role will include the provision of project management support for the Contracts team, oversight of our internal contracts management system (CMS), and some interorganisational working with our critical system partners.

The role will include the preparation of agendas, diary management, co-ordinating team meetings, taking formal minutes, following up actions, booking rooms and providing wider administrative support for the Contracts team.

In return the post holder will be offered the opportunity to manage a small portfolio of contracts, supported to access Contracts Management training and development, and fully engaged with the process of defining the service the team offers and the succession plans that underpin this.

Job responsibilities

The role will:

  • Manage and co-ordinate the administrative support services for the Contracting function. Ensuring all systems and processes operate efficiently, accurately and in a timely manner, through a process of continuous improvement.
  • Track key dates associated with Contracts and service level agreements to ensure that the trust remains compliant with review and renewal dates.
  • To work with other contract team colleagues in routine and ad hoc contract performance monitoring and review work.
  • Take responsibility for a small portfolio of contracts as part of their ongoing PDP.
  • Take ownership of the management of the internal Contracts Management System and produce monthly reports to share with Service Directors and other Senior Managers.
  • Take responsibility for tracking Contract renewal, Business Cases, Contract Variations, Service Development and Improvement Plans and responding to or escalating queries regarding contracts.
  • Support finance and contracting staff with investigating service delivery options.
  • Use judgement to make decisions on ascertaining whether a contract breach may have occurred requiring escalation.
  • Use performance data to create formal reports to be shared at exec level and outside the organisation.

Qualifications and Training

Essential

  • Educated to NVQ 4 level in a relevant field or equivalent level qualification or significant equivalent previous proven experience
  • Extensive experience in a range of administrative procedures.
  • Evidence of continuing professional development

Experience

Essential

  • Demonstrable experience in dealing with the public/suppliers and dealing with sensitive and confidential information.
  • Experience of managing contracts and contract variations.
  • Significant administrative/ secretarial experience including initiating and maintaining office systems.
  • Experience of partnership working across a range of organisations

Desirable

  • Administration experience in the public sector.
  • Experience /Knowledge of NHS contracting. Or relevant public sector experience.
