Job summary
This is an exciting opportunity to support the new Lung
Cancer Screening Programme (LCS) in County Durham. The purpose of the programme
is to enable the early detection of lung cancer in order to save lives
The role is an Appointments Administrator to join the LCS
team at Chester-le-Street Community Hospital on 37.5 hours per week.
We are looking for an enthusiastic, pro-active
person to assist in delivering an efficient, patient focused appointment service
within the LCSP.
Main duties of the job
You will be responsible for contacting patients to arrange
an appointment via letter or telephone, ensuring that all appointments are
booked in accordance within LCSP timescales and manage administrative tasks
associated with appointments booked via the LCSP administrative system.
You may also book review appointments via Worklists and as
requested via proforma.
There is also a requirement to take calls from LCSP
participants, dealing with appointment queries or documenting messages for the
clinical team

To call and invite eligible patients to take part in lung
cancer screening, following script guidance, with positive encouragement for
patients to take part.
To build clinics and appointment templates in the LCSP
booking system, based on the staffing rota provided by the lead nurse.
To book new and review appointments as indicated by the lead
nurse and clinical team.
To re-allocate appointments from the Reserve Appointments Worklists.
To contact patients by telephone for short notice
appointment cancellations.
To ensure that all appointments which require cancelling or
amending are reallocated for patients.
To rebook patients from cancelled clinics and inform patient
either by telephone or letter, as appropriate.
Ensure all Trust and departmental policies and procedures
are adhered to to ensure standards are maintained in the department and all
tasks carried out correctly and within the correct timescales.
Ensure all demographic information is collected and updated.
Take telephone calls from LSCP participants, dealing with
appointment queries, documenting messages and passing to the clinical team for
action.
To help the clinical team assess/treat patients
appropriately by obtaining additional information from primary care and
secondary care colleagues per clinical team requests.
Autonomously organise and prioritise your own workload
according to the variable demands of the LCSP service; adjusting the priorities
throughout the day as further work is emailed in to the department or when
processing more complex bookings and dealing with both internal and external
calls. Liaise with LHC team to advise of any issues around slot booking and
overbooking of clinics where guidance has not already been provided.
Identify any training needs and new opportunities, seek to
develop your own skills and knowledge beyond the training given at
induction. Further your own development
and support the training needs of the team. Identify in appraisals or in
discussion with your supervisor any additional training needs and external
training required, desired or completed.
Training, coaching and mentoring of new staff members in all
aspects of the role including taking calls, interpreting emails and post,
inputting data and getting to know the teams.
Any other duties commensurate with the role and
responsibilities of the post and be aware of the priorities and needs of the
manager to ensure deadlines are met.
