Job summary

Fixed Term or Secondment opportunity.

The Project Support Officer will support the MS 365 Project Manager will work as part of a dynamic team in delivering an effective service, supporting the Project Manager and in co-ordinating, planning and scheduling project activity, from project initiation through to final completion and revenue realisation.

Main duties of the job

Core duties include:

Co-ordination and supporting of meetings for the MS 365 project.

Ensuring performance against work programmes can be tracked.

Support for Work Planning.

Supporting business change.

Tracking of project activity to ensure activity is undertaken as planned, and progress is identified and highlighted if at risk.

Supporting the delivery of project to agreed business requirements.

Working with stakeholders to ensure projects meet initiation requirements and ensuring project benefits are realised.

Ensuring effective project communications in a timely and accurate manner.

Take accountability and ownership of project deliverables and day to day management of project issues within area of responsibility.

To be able to identify risk areas and escalate as required.

The post holder will assist with the development of project trackers and other reports to meet the needs of the Project Board.

The Project Support Officer will also provide high level administrative support and coordination to the Project Team.

We have a centre for planned care in Bishop Auckland and provide care from community hospitals in Chester-le-Street, Shotley Bridge, Barnard Castle, Sedgefield and Weardale as well as over 80 other community based settings and providing care in patients' homes.

Job responsibilities

The role entails the following duties:

Assist the Project Manager with the coordination of the project and ensure appropriate Standard Operating Procedures (SOPs) and Policies and Procedures are adhered to.

Maintain processes to ensure project management documentation, reports and plans are relevant, accurate and complete.

Monitor and track Project Plans, Risk and Issues (RAID), Lessons Learned and Benefits.

Provide support as required to team members in the preparation of project documentation, including progress tracking and updating reports.

Assist the Project team with ensuring all information reported to the Project Manager e.g. timelines, risks and issues and benefits are accurate, complete, up to date and regularly maintained.

Monitor project interdependencies and ensure these are documented/updated within the RAID log by key stakeholders/owners

Build relationships with key stakeholders to facilitate sharing of lessons learned and best practices across the Project.

Assist the Project Manager to effectively communicate with all relevant stakeholders.

Assist in the production of communications and learning materials.

Organise (and schedule) meetings, support preparation of materials for meetings and ensure distribution in a timely manner.

Provide administrative support for board and team level meetings.

Take minutes at meetings, capturing decisions and actions and ensure follow up against actions and update action logs accordingly.

Enable the team with ad hoc administrative requests as required, to enable the successful delivery of the portfolio.
