Job summary

An exciting opportunity has arisen for an enthusiastic, innovative and forward thinking individual to join the practice education team at County Durham and Darlington NHS Foundation Trust as an administrative assistant.

This is a fantastic opportunity for an experienced adminstration/clerical assistant to gain exposure and develop their knowledge working as part of the educaion team.

The successful candidate will support the practice placement and development matron and the wider education team.

Main duties of the job

As the Team Administrator, the post holder will work as administration support to the dynamic Practice Education and Development team as they develop clinical practice, monitor quality standards, compliance and ensure the best possible patient care and professional development across the organization including the International Nurse Education programme, (OSCE), and other projects relevant to the team.

In particular the post holder will provide administrative support to manage and co ordinate the education of internationally recruited health care registrants, they will have a key role in timetabling, transport arrangements and undertaking enquires as and when necessary taking appropriate follow-up action as required.

We provide hospital services from two acute sites - Darlington Memorial Hospital and University Hospital of North Durham. We have a centre for planned care in Bishop Auckland and provide care from community hospitals in Chester-le-Street, Shotley Bridge, Barnard Castle, Sedgefield and Weardale as well as over 80 other community based settings and providing care in patients' homes.

Job responsibilities

Provide secretarial/administration support including but not limited to:

Telephone calls and emails with other departments and organisation, expected to use their initiative when dealing with phone calls and messages.

Undertaking and providing the full range of confidential administrative duties such as prioritising e-mail and mail. Ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.

Managing multiple electronic diaries for the department, including arranging and changing appointments and prioritising these as appropriate.

Organising and planning virtual and face to face meetings and teaching events as directed, providing all necessary supporting materials, including setting up and supporting Teams calls and webinars.

Supporting project management and participating in team events.

Inputting, monitoring and checking data produced for on-going projects.

Preparing agendas and documents, reports and materials in readiness for meetings. Arranging meetings or teaching sessions, booking rooms and hospitality, compiling agendas; taking formal minutes, distributing minutes and chasing actions.

Maintaining effective systems to monitor processes and quality within the team, this will include, running and collating reports, including Board reports as required.

Ensuring all correspondence is accurately and appropriately presented, this includes proactive management of emails.

Typing (including audio) of general correspondence and reports.

Using proficient internet skills to access, search and retrieve information.

Handling queries and ensuring that relevant information is shared, and confidentiality is maintained.
