Job summary
We are looking for a dynamic rota coordinator to take responsibility for the nursing rota on the Critical Care Unit. We have over 200 nurses on the Critical Care unit and your role will be to ensure all shifts, annual leave and sickness is recorded. You will be required to identify gaps in the rota and cover these gaps in the most cost effective way. You will update the rota to reflect any shift swaps and extra shifts undertaken by the nursing team.
You will join our small admin team based on the Critical Care unit at Preston, our admin team is made up of a variety of roles, each one playing an important and vital role in ensuring we provide the best service. No two days are alike, the role, at times, is reactive to the needs of the service. To be successful in this role, you need to demonstrate the ability to plan, organise and deliver rota administration. You will be required to communicate with a wide range of disciplines and possess an aptitude for negotiation and persuasion.
You will review current rotas and processes and identify how these can be streamlined and improved. You will also work closely with the Matron and Unit Manager to ensure the workforce is correctly scheduled, initiating any necessary action in order to maintain service requirements.
Main duties of the job
You will be responsible for supporting the maintenance of accurate records relating to effective and efficient electronic rostering.
You will be required to manage their own workload, use own initiative and communicate effectively, escalating issues as appropriate.
You will act as the first point of contact, liaising with and aiding staff members on staffing levels and shift patterns. The post holder will be responsible for accurately recording and acting upon planned and unplanned absences, such as leave or sickness and updating Healthroster for the Directorate.
You will be required to communicate with a wide range of disciplines and possess an aptitude for negotiation and persuasion.

Communication & Leadership
- To aid the management team in guiding and supporting staff to sustain high levels of service efficiency and
- To communicate rota alterations clearly and in a timely manner
- To foster strong working relationships across medical, nursing and admin team
Planning & Organisation
- Record and monitor, electronically and manually, all nursing staff leave such as annual leave, study leave, professional leave, sick leave in accordance Trust policies and procedures
- Identify agency requirements in relation to leave applications, absences and vacancies and liaise closely with the Matron to procure agency Arrange short notice internal cover for unforeseen absences
- Manage the Health Roster system ensuring all clinical activities are backfilled due to leave or on-call
- Provide an effective drop-in information service for the Directorates nursing
- Produce and distribute rotas for all grades of nursing
- Maintain effective communication channels linking in with key departments and health
- Provide assistance with the local induction of newly appointed nursing/agency
- Process extra duty claims for the nursing
- Record and report on bank and agency expenditure to the Management Team on regular basis.
Partnership Working
- Cooperate with other members of the management and clinical team to ensure that there is consistent and equitable approach to Trust policies and department objectives.
Personal & People Development
- To provide induction and on-the-job training for newly appointed clerical staff
- Undertake continuous professional development, seeking opportunities to enhance skills that can be identified via a Personal Development Plan.
