An opportunity has become available to join the Salford Talking Therapy service as a Band 5 Administration Co-ordinator.

The Greater Manchester Mental Health Talking Therapies Division provides Psychological treatment for anxiety, depression and specialist Post Covid Syndrome and Employment Support across Bolton, Manchester, Salford, Trafford, and Wigan.

As the Administration Coordinator for the Salford Talking Therapies service, you'll enjoy a dynamic and diverse role. You'll oversee the smooth day to day operations of the administrative team, managing the service waiting list and appointment booking processes to meet targets. Your expertise will support service leads, clinicians, and senior managers, contributing to the efficient functioning of the service.

Main duties of the job

Directly responsible for ensuring all teams have the adequate skills and knowledge to provide a customer focused service

  • Responsible for actively monitoring the waiting list, taking appropriate action, and promptly alerting clinical or senior managers to any potential concerns.

    Manage the appointment booking process to ensure timely scheduling of appointments for service users, in accordance with waiting list management procedures.

    Handle challenging calls or service user requests beyond administrative staff's capacity, offering information or escalating to clinical/senior managers when appropriate.

    To assist in implementing any new processes or systems that enhance service efficiency and improve service user experience.

    To highlight any potential delays in service delivery to the relevant managers and negotiate additional resource where necessary.

    Responsible for managing administrative staff ensuring supervision is completed on a regular basis and conducting annual appraisals in line with Trust guidance.
  • Responsible for the recruitment and retention of administrative staff in accordance with Trust policy.

    Oversee the induction, training and development of administrative staff. Regularly updating staff development plans in accordance with Trust policy.

    To provide leadership during times of change, cultivating a culture centred on continual improvement.
